Job Summary
Provide comprehensive administrative support to management, ensuring efficient office operations. Manage schedules, communications, documentation, and coordinate events while maintaining confidentiality and supporting recruitment and reporting activities.
Responsibilities
- Deliver comprehensive administrative support to management to ensure smooth daily office operations
- Manage calendars by scheduling meetings and appointments to optimize management’s time
- Coordinate internal and external communications including emails, phone calls, and enquiries professionally and promptly
- Prepare, organise, and maintain documents, reports, presentations, and meeting materials for effective information sharing
- Coordinate logistics for company events, meetings, and training sessions to ensure seamless execution
- Maintain accurate and confidential filing systems to safeguard sensitive information
- Liaise with internal departments, external vendors, and business partners to enhance operational efficiency
- Assist in preparing and submitting reports, claims, and administrative documentation to support business processes
- Support recruitment and onboarding by scheduling interviews and preparing employment-related documents
- Monitor and replenish office supplies to maintain an organised and efficient work environment
- Undertake ad-hoc projects and administrative duties as assigned by management to support evolving business needs
Preferred competencies and qualifications
- Diploma or equivalent qualification in Business Administration or related field
- Prior experience in administrative, executive assistant, or office management roles
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Strong organisational and multitasking skills demonstrated by managing multiple tasks and priorities effectively
- Effective communication and interpersonal skills applied in professional correspondence and stakeholder interactions
- Ability to handle sensitive information with professionalism and discretion
- Self-motivated and resourceful with the ability to work independently in a fast-paced environment
