We are a growing food supplement manufacturing company seeking a dedicated and detail-oriented Administrative Assistant to support our daily office operations. The successful candidate will be responsible for handling administrative tasks, maintaining accurate records, and providing essential office support to ensure smooth and efficient business operations.
WORKING HOURS & SCHEDULE (FLEXIBLE)
- Standard Schedule: Monday to Friday (Exact operational hours can be mutually agreed upon during the interview to best align with team workflows).
- Total working hours: 45 hours per week
- Saturday: Standby/on-call as required for training sessions, company events, or operational needs.
- Flexibility Commitment: We offer adjustable clock-in/clock-out windows or time-off compensation adjustments for personal emergencies to actively support a healthy work-life balance.
Responsibilities:
- Document Management: Manage, organize, and archive company files, documents, and records systematically.
- Daily Operations: Handle incoming phone calls, emails, and customer inquiries professionally; procure office supplies and manage inventory.
- Financial Support: Create and process Purchase Orders (PO) accurately and in a timely manner; prepare and maintain Payment Vouchers and related documentation.
- Attendance Tracking: Monitor and maintain staff attendance records and leave applications.
- Coordination: Act as an efficient administrative bridge between management, internal departments, and external entities like suppliers or vendors.
Requirements:
- Possess a Diploma or above in Business Administration/Business Studies, or related field (preferred)
- Strong communication and negotiation skills
- Proficient in MS Office (Excel, Word, Outlook) and AutoCount system
- Detail-oriented with excellent organizational skills
- Ability to work in a fast-paced environment and handle multiple priorities
- Responsible, highly detail-oriented, and fully capable of working independently.
- Familiarity with food manufacturing or GMP practices is a plus
