Responsibilities

IT Asset & Procurement Manager (ITMS)

Position Summary

We are seeking an experienced IT Asset & Procurement Manager to oversee the end-to-end lifecycle management of IT assets and procurement activities across the organization. The role is responsible for ensuring efficient acquisition, deployment, tracking, maintenance, and disposal of IT hardware, software, licenses, and related services while maintaining compliance with company policies, vendor agreements, and audit requirements.

The ideal candidate will have strong experience in IT Asset Management (ITAM), IT Service Management (ITSM), vendor management, contract negotiation, budgeting, and procurement governance.

Key Responsibilities

IT Asset Management

  • Manage the complete lifecycle of IT assets, including procurement, inventory tracking, deployment, maintenance, refresh, and disposal.
  • Maintain accurate records of hardware, software, licenses, and cloud subscriptions within the IT Asset Management (ITAM) system.
  • Ensure compliance with software licensing agreements and vendor audit requirements.
  • Conduct regular asset audits, reconciliations, and inventory reviews.
  • Develop and implement asset management policies, procedures, and governance frameworks.
  • Monitor asset utilization and recommend optimization strategies to reduce costs and improve efficiency.
  • Manage asset disposal and decommissioning processes in accordance with security and regulatory requirements.

IT Procurement Management

  • Lead procurement activities for IT hardware, software, cloud services, telecommunications, and technology-related services.
  • Manage the end-to-end procurement cycle, including requirement gathering, RFQ/RFP processes, vendor evaluation, purchase requisitions, and purchase orders.
  • Negotiate pricing, contracts, service agreements, and renewal terms with vendors and suppliers.
  • Ensure procurement activities comply with organizational policies, budgets, and governance standards.
  • Collaborate with finance teams to manage budgets, forecasts, and cost optimization initiatives.
  • Track procurement performance metrics and vendor service delivery.

Vendor & Contract Management

  • Establish and maintain relationships with technology vendors, suppliers, and service providers.
  • Monitor vendor performance against agreed SLAs and contractual obligations.
  • Review, negotiate, and manage software licensing agreements, maintenance contracts, and service contracts.
  • Drive vendor consolidation and strategic sourcing initiatives to optimize costs and improve service quality.
  • Manage contract renewals, amendments, and termination processes.

Governance, Risk & Compliance

  • Ensure compliance with internal procurement policies, IT governance frameworks, and regulatory requirements.
  • Support internal and external audits related to IT assets, procurement activities, and software licensing.
  • Identify procurement and asset management risks and implement appropriate mitigation measures.
  • Maintain proper documentation and reporting for audit readiness and regulatory compliance.

Stakeholder Management

  • Partner with IT, Finance, Security, Operations, and Business Units to understand technology requirements and procurement needs.
  • Provide guidance on asset lifecycle planning, budgeting, and procurement best practices.
  • Deliver regular reports and dashboards on asset inventory, procurement spend, vendor performance, and compliance status.

Education

  • Bachelor's Degree in Information Technology, Computer Science, Business Administration, Supply Chain Management, Procurement, Finance, or a related discipline.

Experience

  • 5+ years of experience in IT Procurement, IT Asset Management, IT Operations, or Technology Vendor Management.
  • Experience managing hardware, software, SaaS, cloud subscriptions, and enterprise technology contracts.
  • Proven experience with vendor negotiations, contract management, and procurement governance.
  • Experience supporting IT audits and software license compliance reviews.
