The Maintenance Planner is responsible for planning, scheduling, coordinating, and monitoring preventive, corrective, and predictive maintenance activities for diesel generator systems supporting critical data center operations. This role ensures that all maintenance activities are executed safely, efficiently, and in accordance with OEM recommendations, customer requirements, regulatory standards, and service level agreements (SLAs).
The ideal candidate serves as the central coordination point between customers, field service engineers, subcontractors, and internal support teams. The role is responsible for optimizing resource allocation, managing maintenance schedules, coordinating spare parts and tools, and ensuring timely communication with stakeholders. Through effective planning and execution, the Maintenance Planner contributes to maximizing generator reliability, availability, and operational performance while minimizing downtime and service disruptions.
Key Responsibilities:
Maintenance Planning and Scheduling
- Develop and maintain annual, quarterly, monthly, and weekly maintenance plans for diesel generator assets.
- Create and manage preventive maintenance (PM) schedules in accordance with OEM recommendations, customer requirements, and regulatory standards.
- Plan and coordinate corrective maintenance activities arising from inspections, condition monitoring, fault reports, and operational incidents.
- Optimize maintenance schedules to minimize operational disruption while ensuring equipment reliability and availability.
- Coordinate planned shutdowns, testing activities, and maintenance windows with customers and internal stakeholders.
Work Order Management
- Create, review, and manage maintenance work orders within the maintenance management system.
- Ensure maintenance activities are properly documented and closed out in a timely manner.
- Review service reports for accuracy, completeness, and compliance with maintenance standards.
- Maintain comprehensive maintenance history records for all generator assets.
- Track outstanding maintenance actions and ensure timely resolution.
Spare Parts and Inventory Planning
- Forecast annual spare parts and consumables requirements based on maintenance schedules, equipment age, and reliability trends.
- Maintain optimal inventory levels for critical and long-lead-time components.
- Coordinate procurement and replenishment of spare parts, consumables, and replacement equipment.
- Monitor supplier lead times and proactively mitigate risks associated with parts availability.
- Develop and implement country-level spare parts stocking strategies to support service responsiveness and uptime requirements.
- Conduct periodic inventory reviews and recommend stock optimization initiatives.
Resource Coordination
- Plan and schedule field service engineers, technicians, and support personnel for maintenance activities.
- Coordinate third-party vendors, specialist contractors, and OEM representatives when required.
- Arrange necessary tools, testing equipment, lifting equipment, and site resources.
- Ensure adequate manpower and technical competency are available for planned maintenance, emergency repairs, and major overhauls.
- Monitor resource utilization and recommend improvements to workforce efficiency.
Data Center Compliance and Reliability
- Ensure maintenance activities comply with customer maintenance standards, contractual obligations, and service level agreements (SLAs).
- Support compliance with data center operational, safety, and reliability requirements.
- Coordinate generator testing activities, including load bank testing, synchronization testing, and emergency response testing.
- Ensure all maintenance activities are conducted in accordance with EHS requirements, permit-to-work procedures, and site-specific safety regulations.
- Contribute to continuous improvement initiatives aimed at enhancing equipment reliability and reducing downtime.
Performance Monitoring and Reporting
- Monitor and analyse maintenance performance indicators, including:
- Preventive Maintenance (PM) Completion Rate
- First-Time Fix Rate (FTFR)
- Mean Time Between Failures (MTBF)
- Mean Time to Repair (MTTR)
- Generator Availability
- Service Level Agreement (SLA) Compliance
- Identify maintenance trends, recurring failures, and reliability improvement opportunities.
- Prepare monthly, quarterly, and annual maintenance performance reports for management and customers.
- Support root cause analysis (RCA) investigations and corrective action tracking.
Customer and Stakeholder Management
- Coordinate maintenance schedules and service activities with customers to minimize operational impact.
- Attend customer maintenance review meetings and operational discussions.
- Provide maintenance plans, service reports, testing reports, and performance updates to customers.
- Manage customer notifications related to planned maintenance activities, outages, and service interventions.
- Maintain strong working relationships with customers, internal teams, vendors, and subcontractors to ensure service excellence.
Continuous Improvement
- Identify opportunities to improve maintenance planning processes, resource utilization, and service delivery efficiency.
- Support implementation of computerized maintenance management systems (CMMS) and maintenance best practices.
- Recommend reliability-centered maintenance (RCM) and predictive maintenance initiatives where applicable.
- Participate in audits, quality reviews, and process improvement projects to enhance operational performance.
Job Requirements:
- Diploma or Bachelor's Degree in Mechanical Engineering, Electrical Engineering, Power Generation Engineering, or a related technical discipline.
- Minimum 2-3 years of experience in maintenance planning, power generation, critical facilities, data centers, or generator service operations.
- Experience with diesel generator systems, preventive maintenance planning, scheduling, and resource coordination.
- Familiarity with CMMS, ERP, or maintenance management systems is an advantage.
- Working knowledge of diesel engines, alternators, generator control systems and fuel systems
