Job Summary:

Prosegur Singapore is looking for a motivated and detail-oriented Administrative Officer to support our daily operations. The ideal candidate will possess excellent organizational skills, proficiency in Microsoft Excel, and a proactive approach to managing administrative tasks. This role is crucial in ensuring the smooth functioning of the office and supporting our team of officers.


Key Responsibilities:

  • Attendance Management: Accurately record and manage the daily attendance of all officers, ensuring compliance with company policies and reporting any discrepancies.
  • Record Keeping: Maintain organized and up-to-date records, including employee attendance, shift schedules, and other relevant administrative documentation.
  • Reporting: Generate various administrative reports as required, utilizing data from attendance records and other sources. Ensure accuracy and timeliness of all submitted reports.
  • Inquiries & Support: Serve as a point of contact for internal queries related to attendance, schedules, and general administrative matters. Provide timely and professional assistance to staff.
  • Office Operations: Assist in the general administration of the office, including managing supplies, coordinating with vendors, and ensuring a well-maintained workspace.
  • Data Entry & Management: Perform accurate data entry into various systems, with a strong emphasis on using Microsoft Excel for data manipulation and analysis.
  • Shift Coordination: Support the coordination of rotating shifts, ensuring adequate coverage and adherence to scheduling requirements.
  • Ad Hoc Duties: Undertake any other administrative tasks and projects as assigned by the management.


Qualifications and Skills:

  • Experience: A minimum of 2 years of proven experience in an administrative role, preferably within a corporate or security environment.
  • Microsoft Excel Proficiency: Demonstrated strong skills in Microsoft Excel, including experience with data entry, formula creation, data sorting, filtering, and basic reporting.
  • Organizational Skills: Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively and manage multiple responsibilities simultaneously.
  • Attention to Detail: Meticulous attention to detail to ensure accuracy in record-keeping and reporting.
  • Communication Skills: Good verbal and written communication skills, enabling clear and concise interaction with colleagues and management.
  • Problem-Solving: Ability to address and resolve basic administrative queries and issues independently.
  • Adaptability: Willingness to work within a rotating shift schedule, demonstrating flexibility and reliability.
  • Proactive Attitude: A self-starter with a proactive approach to identifying and addressing administrative needs.


Work Schedule:

This position operates on a 12-hrs shift, 5-day work week with a rotating shift schedule.

Specific shift timings will be discussed during the interview process.
