Responsibilities

Job Summary

The Junior Procurement Executive is responsible for supporting the procurement function by ensuring the timely and cost-effective sourcing, purchasing, and delivery of materials, equipment, and services required for business operations and projects. This role involves coordinating closely with suppliers, project teams, and engineering teams to ensure materials are ordered accurately and delivered according to project schedules. The incumbent will also assist in inventory management, supplier evaluation, and procurement documentation while contributing to cost control and operational efficiency.

Job Description

  • Prepare and process Purchase Orders (POs) to suppliers and manufacturers in a timely manner.
  • Source and evaluate suppliers, products, and services to obtain the best value in terms of quality, cost, and delivery.
  • Assist in negotiating pricing, payment terms, and delivery schedules with suppliers.
  • Coordinate closely with Project and Engineering teams to understand material requirements and ensure timely ordering of materials for project execution.
  • Follow up with suppliers and internal stakeholders to ensure on-time delivery of purchased materials and services.
  • Monitor order status and resolve any issues related to delays, shortages, or discrepancies.
  • Inspect and verify purchased items upon delivery and report any quality or quantity issues promptly.
  • Maintain accurate procurement records, supplier databases, and purchasing documentation.
  • Develop and maintain good working relationships with suppliers and service providers.
  • Conduct market research and monitor price trends to support cost-saving initiatives.
  • Assist in inventory management and control by regularly updating and maintaining records and practicing prudent purchasing to prevent over- or under-stocking.
  • Support stock planning and replenishment activities to ensure sufficient inventory levels for operational and project requirements.
  • Ensure compliance with company procurement policies and procedures.

Requirements

  • Possess at least a Diploma or Degree in Business Administration, Supply Chain Management, Procurement, Engineering, or a related field.
  • Preferably 1–2 years of working experience in procurement, purchasing, supply chain, or a related field.
  • Fresh graduates with relevant internship experience are welcome to apply.
  • Pleasant personality with a positive working attitude, initiative, and sense of ownership.
  • Strong communication and interpersonal skills with the ability to work effectively with suppliers and internal departments.
  • Able to work independently, prioritize tasks, and perform under pressure.
  • Good planning, coordination, and organizational skills.
  • Willingness to learn and grow within the procurement function.
  • Proficient in Mandarin to effectively communicate with Mandarin-speaking suppliers and stakeholders.
  • Proficient in Microsoft Office applications, particularly MS Excel, MS Outlook, and MS Word.
  • Experience with ERP systems or accounting software such as Xero will be an added advantage.
