Responsibilities
The secretary to the CEO provides high-level administrative, organizational, and support to the Chief Executive Officer.
As a key member, the Secretary will represent the CEO professionally in both internal and external engagements, manage sensitive and confidential information, and assist in various corporate and project-related initiatives.
Key Responsibilities:
Executive & Administrative Support
· Manage the CEO’s daily calendar, appointments, and travel arrangements to ensure effective time management and prioritisation.
· Screen, prioritise, and manage incoming communications, including emails, calls, and requests requiring the CEO’s attention.
· Coordinate cross-departmental schedules and act as a liaison between the CEO and senior leadership teams.
· Prepare and format presentation slides for the CEO’s meetings, briefings, and external engagements.
Project, Festive event and Relationship Management
· Plan, coordinate, and execute events, and special projects as assigned by the CEO.
· Oversee end-to-end event logistics, including vendor coordination and on-site execution to ensure smooth delivery.
· Support corporate social responsibility (CSR), public relations, and strategic partnership initiatives.
Representation & Communication
· Serve as a trusted representative of the CEO at meetings, conferences, and networking engagements when required.
· Uphold the image, professionalism, and standards of the CEO’s office in all interactions.
Administrative Coordination (Malaysia & Documentation)
· Receive and review documents from Johor Bahru (JB) operations, including matters related to Chang Cheng Mee Wah.
· Vet and review JB agreements and coordinate execution for CEO approval and signature
Personal Administrative Support (CEO)
· Assist with the CEO’s personal tax matters, including consolidation, verification, and reconciliation of income-related documents.
· Manage CEO vehicle-related administrative matters, including road tax renewal and insurance.
· Support personal documentation matters, including passport and re-entry permit applications and renewals.
Logistics & Coordination
· Coordinate prayer-related arrangements, including preparation of logistics and necessary support.
· Arrange travel and accommodation logistics, including hotel bookings in Malaysia.
· Coordinate dinner arrangements, including reservations and payment processing (e.g. fund transfer handling).
Confidentiality & Coordination
· Handle sensitive and confidential information with the highest level of discretion and integrity.
· Anticipate the CEO’s needs and proactively manage priorities to ensure seamless execution of responsibilities.
Requirements:
· Bachelor’s degree in business administration, or related field preferred.
· Strong organizational, coordination, and communication skills.
· Excellent interpersonal skills with the ability to interact effectively with executives and partners.
· Proven ability to handle multiple tasks and work under pressure in a fast-pace denvironment.
· High degree of integrity, discretion, and professionalism.
· Flexibility to work extended hours and attend events as needed.
