1. Role Summary
To lead the Quality Department, serving as the primary authority on product quality, environmental compliance, and technical documentation. As the acting Head of Department (HOD) in an SME setting, this role requires a hands-on leader who can manage the Integrated Management System (ISO 9001 & ISO 14001), oversee daily QC operations, mentor a junior executive, and manage regulatory compliance and technical data for the product line.
2. Key Responsibilities
A. Management Representative (MR) – ISO 9001 & ISO 14001
- System Maintenance: Serve as the designated Management Representative (MR). Maintain, update, and control all documented information regarding the Quality Management System (QMS) and Environmental Management System (EMS).
- Audit Management: Plan and conduct Internal Audits. Act as the primary liaison for External Auditors (Certification Bodies) during surveillance and recertification audits.
- Management Review: Prepare data and chair the Annual Management Review meetings, reporting on system performance, non-conformities, and opportunities for improvement to the Managing Director.
- Compliance: Ensure the company complies with all relevant legal and environmental regulations (e.g., waste disposal, noise monitoring).
B. Technical Documentation & Regulatory Compliance
- Product Specifications: Prepare and maintain Technical Data Sheets (TDS) and Certificates of Analysis (COA) for finished goods.
- Safety Compliance: Author and update Material Safety Data Sheets (MSDS/SDS) in accordance with local and international regulatory requirements.
- Environmental Reporting: Manage and compile RoHS and REACH compliance reports, ensuring all raw materials and finished products meet chemical restriction standards.
- Customer Technical Support: Respond to customer inquiries regarding product specifications, safety data, and environmental declarations.
C. Department Leadership & Mentorship
- Team Supervision: Supervise the daily activities of the Junior QA Executive.
- Training & Development: Create a training roadmap for the Junior Exec (e.g., teaching them inspection methods, calibration, and basic root cause analysis).
- Culture Building: Foster a "Quality First" culture among the workforce, conducting simple briefings for production operators on quality defects.
D. Operational Quality & Continuous Improvement
- Process Control: Oversee Incoming (IQC), In-Process (IPQC), and Outgoing (OQC) inspections.
- Non-Conformance Management: Lead investigations for internal rejects and Customer Complaints.
- Root Cause Analysis: Utilize tools like 5 Whys or Fishbone Diagrams to identify root causes of defects and implement effective Corrective and Preventive Actions (CAPA).
- Supplier Quality: Evaluate supplier performance and conduct supplier audits when necessary.
E. Role in Product Development (R&D Support)
- Quality Planning: Participate in the early stages of New Product Introduction (NPI) to ensure design for manufacturability.
- Testing & Validation: Define testing parameters and acceptance criteria for new products.
3. Daily/Weekly Routine Breakdown (SME Context)
- Senior Exec Focus (70%): Handling customer complaints, Quality defects handling with suppliers (quality complaint meeting) , ISO documentation updates, preparing TDS/MSDS, managing RoHS/REACH declarations, product development.
- Delegated to Junior Exec (30%): Performing line inspections, data entry of rejection rates, issuing standard COAs, calibration of basic tools, collecting environmental waste records.
Job Requirements
- Education: Degree/Diploma in Chemistry, Engineering, Science, or a related technical discipline.
- Experience: Minimum 3–5 years of experience in Quality Assurance within a manufacturing environment.
- Certifications:
- Certified Internal Auditor for ISO 9001:2015 (Mandatory).
- Knowledge/Certification in ISO 14001:2015 (Strongly Preferred).
Skills:
- Proficiency in analysis and writing technical report such as Test report, TDS, MSDS, and COA.
- Familiarity with RoHS and REACH regulatory frameworks.
- Leadership skills to mentor a fresh graduate.
- Resilience and adaptability (crucial for an SME environment).
