Job Summary
The Retail Operations & Administration Intern will support the Retail Operations team in ensuring smooth day-to-day business operations across retail stores nationwide. The role provides exposure to retail administration, store operations, compliance management, documentation control, inventory coordination, travel arrangements, and project support. The intern will work closely with the Secretary, District Managers, Store Managers, Warehouse Team, Finance Team, and other internal stakeholders.
Job Responsibilities
Retail Operations Administration
- Assist in maintaining and updating store operational records, databases, and documentation.
- Support the preparation, distribution, and filing of operational agreements, approvals, and store-related documents.
- Update store and Store Manager information in internal systems and databases.
- Prepare reports, trackers, and administrative records for operational monitoring and audit purposes.
- Manage document filing and ensure proper record keeping of retail operational documents.
Store Support & Coordination
- Liaise with District Managers and Store Managers on operational matters and documentation requirements.
- Assist in updating store listings, store codes, store information, and operational records.
- Coordinate requests related to store operations, including inventory transfers and store administration matters.
- Provide administrative support for new store openings, pop-up stores, and other retail initiatives.
Compliance & Business Licensing
- Assist in the application, renewal, and maintenance of business licences and sales licences for retail stores.
- Support the monitoring and updating of statutory compliance records and reports.
- Maintain accurate records of store compliance documents and regulatory submissions.
- Coordinate with relevant stakeholders to ensure timely submission of required compliance documentation.
Inventory, Uniform & Stationery Management
- Assist in coordinating uniform orders and distribution for Store Managers and retail staff.
- Prepare and arrange stationery requests and distribution to stores nationwide.
- Maintain inventory records for operational supplies and retail support materials.
- Coordinate with warehouse and suppliers regarding delivery arrangements and stock replenishment.
Promotions & Communication
- Assist in preparing and distributing operational circulars, promotional announcements, and incentive communications.
- Coordinate communication of operational updates, promotions, and business information to stores and District Managers.
- Ensure relevant documents and communication materials are distributed accurately and in a timely manner.
Financial & Administrative Support
- Support attendance tracking and allowance administration for trainees and store personnel.
- Assist in processing purchase requisitions, purchase orders, and supporting documents.
- Coordinate invoice collection and document submission for payment processing.
- Assist in bank statement reconciliation and expense documentation when required.
Travel & Event Coordination
- Assist in coordinating travel arrangements, accommodation bookings, and logistics for business-related activities.
- Support internal events, retail campaigns, warehouse sales, and special projects.
- Coordinate administrative requirements for meetings, training sessions, and operational activities.
Reporting & Audit Support
- Maintain operational reports, compliance trackers, and audit-related documentation.
- Assist in monitoring agreement expiry dates, store signboard records, insurance listings, and other operational reports.
- Support audit and reporting requirements by ensuring documentation is complete and up to date.
General Administrative Duties
- Maintain the cleanliness and organization of the Retail Operations storeroom and document storage areas.
- Prepare courier and shipment documentation when required.
- Perform data entry, document preparation, filing, and other administrative duties.
- Undertake ad-hoc assignments and projects as assigned by the Secretary or Retail Operations Management Team.
Job Requirements
- Currently pursuing a Diploma or Bachelor's Degree in Business Administration, Management, Retail Management, Human Resources, Logistics, Supply Chain, Finance, or a related field.
- Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Good communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and work in a fast-paced environment.
- Positive attitude, willingness to learn, and ability to work collaboratively with different departments.
