Job Description

Responsibilities

This position requires a competent and highly organized and able to respond quickly and positively in all situations. This role demands significant responsibility and a high degree of integrity and trustworthiness. An administrative role mostly responsible for overseeing the Managing Partner’s personal needs and professional business needs. The candidate is also expected to work as a team with other secretaries (Personal Assistant, Executive Assistants, and Receptionists).


Responsibilities

  • Provide secretarial support by managing schedules, organizing meetings, travels and appointments by engaging with relevant parties
  • Provide other general administrative support as necessary, including doing research and creating reports, completing expense claims, and office protocol approvals
  • Timely electronic filing system in accordance with internal process
  • Assist in preparation and readiness of meeting materials and presentation decks prior to the meeting schedule
  • Back up support including but not limited to overall office administration
  • Special task assigned i.e., official social events, business conferences, etc
  • Responsible for any other tasks (other jobs or projects that may be assigned from time to time


Qualifications


  • Formal Education: Diploma or Advanced Diploma in Private Secretaryship (or equivalent formal secretarial training) from a recognized college.
  • Work Experience: 2–5 years of relevant experience in an administrative support role.
  • Language Skills: Excellent spoken and written English
  • Core Competencies: Strong organizational, prioritization, and multitasking skills.
  • Work Style: Proactive, flexible, and capable of managing multiple responsibilities effectively.
  • Technical Skills: Highly proficient in Microsoft Office applications (Word, Excel, and PowerPoint)
  • Availability: Available immediately for a contract role.
