Job Description
Responsibilities
The System Analyst will support the NGO's digital capabilities by ensuring internal systems, donor and grant platforms, and operational workflows are efficient, secure, and aligned with the organisation’s mission. The role bridges business users, external vendors, and technology solutions, and supports digital transformation and data governance initiatives.
Key Responsibilities:
Analyse business processes across grantmaking, donor management, finance, and operations.
Identify gaps, inefficiencies, and opportunities for automation or system enhancement.
Translate business needs into functional and technical requirements.
Lead or support implementation of new systems including CRM, grant management platforms, workflow tools, and cloud solutions.
Develop functional specifications, user stories, and test cases. Coordinate UAT, system rollout, and post-implementation review.
Manage external IT vendors, consultants, and service providers.
Participate in software evaluation and vendor selection.
Monitor project timelines, budgets, and deliverables.
Maintain data integrity and ensure compliance with Hong Kong’s Personal Data Privacy Ordinance.
Support creation of dashboards and reports for management, board, donors, and auditors.
Implement data quality controls and documentation standards. Provide day-to-day system support to internal users.
Diagnose and resolve system issues and escalate to vendors when needed.
Maintain system documentation, SOPs, and training materials.
Support cybersecurity controls, access management, and system audits.
Assist in reviewing vendor security practices and data protection measures.
Qualifications and Experience:
Bachelor’s degree in Information Systems, Computer Science, or related discipline.
8+ years of experience in IT, past experience as a System Analyst, Business Analyst, or similar role is an advantage.
Strong understanding of system workflows, integrations, and data structures.
Experience with CRM, ERP, HRIS, or workflow automation tools.
Ability to translate business needs into technical requirements.
Strong communication skills with non-technical stakeholders.
Experience coordinating with external vendors.
Preferred experience includes NGO or public sector exposure, donor management systems such as Salesforce NPSP or Blackbaud, familiarity with Microsoft 365 or Azure, basic SQL or API knowledge, Power BI experience, and understanding of PDPO and data governance.
