Responsibilities

Job Description – Project Coordinator (InteriorDesign)

Role Overview

The ProjectCoordinator supports the Interior Designer-in-Charge in overseeing renovationprojects from site coordination to documentation control. This role requiresstrong site management skills, disciplined paperwork, familiarity withSingapore renovation processes, and strict adherence to payment-based workprogression.

Candidates with own transport (motorcycle or car) are preferreddue to frequent site visits.

Key Responsibilities

Project Execution & Payment-Based Work Control

  • Oversee renovation works strictly in accordance with payment milestones and agreed percentages.
  • Ensure work execution follows company policy, including but not limited to:
  • Up to 20% work completion only after first payment is received
  • Up to 50% work completion only after third payment is received
  • Immediate work stoppage if final payment is not received, except for agreed and approved scope
  • Monitor payment status closely and coordinate with management before releasing further works.
  • Prevent over-commitment or over-execution beyond the payment received.
  • Ensure subcontractors are scheduled and released strictly based on payment clearance.

Site Coordination & Subcontractor Management

  • Conduct regular site visits to oversee workmanship, progress, and sequencing.
  • Coordinate and supervise subcontractors to ensure works follow approved drawings and timelines.
  • Prepare, issue, and track work orders to subcontractors.
  • Identify site issues, design clashes, or improvement opportunities and proactively report or propose solutions.
  • Work closely with the Interior Designer-in-Charge on site coordination, changes, and improvements.

Reporting, Paperwork & Filing Discipline

  • Prepare and submit clear progress updates and site reports to management.
  • Maintain neat, accurate, and complete documentation, including:
  • Quotations
  • Work orders
  • Variation orders
  • Invoices
  • HDB / MCST forms
  • Permits and approvals
  • Ensure all documents are properly filed in both softcopy and hardcopy, following company SOP strictly.
  • Update drawings, approvals, and records promptly to avoid discrepancies.

AutoCAD, Drawings & Technical Support

  • Able to read, understand, and interpret AutoCAD drawings accurately.
  • Assist the Interior Designer by:
  • Making minor drawing adjustments
  • Updating drawings based on site conditions or approved changes
  • Ensuring latest versions are properly saved, named, and filed
  • Ensure all drawing updates follow company drawing standards and filing structure.

Compliance & Professional Standards

  • Be well-versed in Singapore renovation regulations and terminology.
  • Ensure works comply with approved drawings, safety requirements, and regulatory guidelines.
  • Uphold integrity, accuracy, and professionalism in all submissions and site coordination.

Client & Issue Handling

  • Support the Interior Designer in handling client queries, concerns, and complaints professionally.
  • Reinforce company policies on payment, work progress, and scope control when required.
  • Assist in resolving site issues calmly and efficiently.

Work Ethics & Initiative

  • Demonstrate reliability, responsibility, and accountability for assigned projects.
  • Take initiative to flag risks, delays, payment issues, or site problems early.
  • Able to work independently with minimal supervision and collaborate effectively with the team.
  • Follow SOPs, workflows, and management instructions strictly.

Requirements

  • Porfessional/Diploma or equivalent experience in Interior Design, Renovation, or Construction-related fields.
  • Strong familiarity with Singapore renovation processes, terminology, and site practices.
  • Experience coordinating subcontractors and renovation works.
  • Proficient in AutoCAD or similar design software.
  • Strong organisational and documentation skills with attention to detail.
  • Able to manage multiple projects without compromising paperwork or site control.
  • Calm, logical problem-solver when handling site or client issues.
  • Responsible, proactive, and disciplined in following payment-based work controls.
  • Own transport (motorcycle or car) preferred.
  • Sales-driven mindset or interior design exposure is an advantage.

$1,800 – $3,500 (commensurate with experience)
