Join us as a Procurement and Logistics Coordinator! Enhance operations, manage suppliers, and optimize inventory in a dynamic, fast-paced environment.
1. Internal Coordination
- Work closely with Customer Service and Sales teams on inquiries, costing, stock availability, lead times, order confirmations, and deliveries.
- Collaborate with Production, Warehouse, and Suppliers to align demand and supply.
2. Procurement & Supplier Coordination
- Request and collect quotations from suppliers based on purchase requisitions.
- Compare pricing, lead time, and terms to support procurement decisions.
- Issue Purchase Orders (POs) and ensure timely confirmation from suppliers.
- Track supplier orders to ensure on-time dispatch and delivery.
- Maintain active communication with vendors to manage changes, delays, or shortages.
3. Order & Inventory Management
- Monitor stock levels and coordinate replenishment based on consumption trends and minimum stock thresholds.
- Liaise with warehouse teams to ensure proper receiving, recording, and storage of goods.
- Assist in conducting periodic stock counts and inventory reconciliations.
4. Documentation & Compliance
- Maintain accurate records of:
- Supplier costs
- Purchase Orders
- Invoices
- Delivery Notes / Goods Receipt Notes (GRNs)
- Perform 3-way matching between cost, delivery note, and invoice before approving payments.
- Verify supplier invoices for accuracy and compliance with agreed terms.
5. Logistics Coordination
- Coordinate with freight forwarders and logistics partners for shipment arrangements.
- Track shipments and provide timely delivery updates to internal teams.
- Ensure proper preparation of customs documentation (e.g., commercial invoices, packing lists).
- Arrange last-mile delivery and confirm receipt at the warehouse or final destination.
6. Issue Resolution & Follow-Up
- Investigate and resolve order discrepancies (e.g., wrong items, damaged goods, missing quantities).
- Follow up with suppliers for replacements, credit notes, or refunds as needed.
- Escalate unresolved issues to the Operations Manager or appropriate departments.
- Monitor delivery statuses and follow up on pending supplier invoices.
7. Administrative Support
- Assist the Operations Manager with administrative tasks, reporting, and project coordination.
- Support cross-functional activities during peak periods or staff shortages.
