PERSONAL ASSISTANT

ROLE OVERVIEW

We are seeking a proactive and versatile Personal Assistant to provide comprehensive support to the business owner. This is a dynamic, hands-on role suited to an organised, digitally capable individual who is comfortable wearing many hats in a fast-paced anti-aging and wellness environment.

KEY RESPONSIBILITIES

Administration & Executive Support

• Manage the director's diary, appointments, and correspondence

• Handle incoming enquiries via phone, email, and WhatsApp

• Prepare documents, reports, and meeting materials

• Manage filing systems and maintain confidential records

• Coordinate meetings and take minutes where required

Basic Accounting

• Process invoices, receipts, and expense claims

• Assist with basic bookkeeping and financial record-keeping

• Liaise with external accountants and provide supporting documentation

Marketing & Content Support

• Assist with basic video editing for promotional and social media content

• Create and format PowerPoint presentations for client, seminar, and business use

• Coordinate content schedules and liaise with external creative vendors where needed

Seminar & Event Coordination

• Build and manage registration forms using Google Forms

• Coordinate logistics including venue, catering, invitations, and attendee communication

• Provide on-site support during events as required

Travel Coordination

• Arrange business travel including flights, accommodation, and itineraries

• Occasionally travelling to Beijing and Shenzhen

REQUIREMENTS

• A degree holder, minimum 5 years' experience in an executive assistant, PA, or office administrator role

• Proficient in Microsoft PowerPoint, Word, and Excel

• Hands-on experience with Google Workspace (Gmail, Forms, Drive, Calendar)

• Basic video editing skills (CapCut, Adobe Premiere, or similar)

• Basic accounting/bookkeeping knowledge; experience with accounting software a plus

• Strong organisational and time management skills

• Excellent written and verbal communication in English and Cantonese; Mandarin a plus

• Discreet, reliable, and able to handle sensitive information with professionalism

WHAT WE OFFER

• HK$18,000 – HK$27,000 per month, commensurate with experience
