Key Responsibilities
Maintenance Data & Operations Support
- Maintain, update, and audit daily digital maintenance logs via a centralized tracking system
- Compile monthly Retail Outlet Maintenance Summary reports for management review
- Analyse maintenance data to identify performance trends across outlets
- Highlight recurring issues, anomalies, and operational risks to the Project Manager
- Support data-driven recommendations for preventive maintenance planning
Procurement & Finance Coordination
- Act as the main liaison for contractors, vendors, and suppliers regarding invoices
- Collect, verify, and reconcile invoices against completed work orders and approvals
- Prepare and submit payment claims accurately and in a timely manner
- Track payment status and follow up with finance team to ensure timely vendor payments
- Maintain good working relationships with external contractors and service providers
Administrative & Document Control
- Manage the movement and tracking of physical and digital documents across departments
- Ensure proper filing and archiving of contracts, approvals, compliance documents, and project records
- Coordinate cross-department document requests between business units
- Maintain organised digital records for project handovers and tenancy fit-out guidelines
- Provide general administrative support to the Project Manager as required
Job Requirements
- Minimum Diploma or Bachelor’s Degree in Business Administration, Finance, Accounting, or related field
- 1–3 years of experience in administration, project support, procurement, or finance coordination
- Strong attention to detail with good organisational and documentation skills
- Able to manage multiple tasks and work with cross-functional teams
- Good communication skills to liaise with vendors and internal departments
- Able to work independently with minimal supervision
- Experience in retail operations, construction, or facilities management is an added advantage
Pay: From RM2,800.00 per month
