Responsibilities

We’re Hiring: Contract Executive

Location: Subang Jaya, Selangor

Employment Type: Full-Time

Department: Contract

Reports To: HOD of Contract Department

Position Summary

The Contract Executive is responsible for managing contract administration activities, preparing progress claims, variation orders, subcontract documentation, and monitoring project costs throughout the project lifecycle. The role ensures contractual compliance, protects the Company’s commercial interests, and supports the successful delivery of construction projects.

Key Responsibilities

1. Contract Administration

  • Review, interpret, and administer construction contracts, subcontracts, and consultancy agreements.
  • Ensure compliance with contractual terms, conditions, and project requirements.
  • Maintain and organize all contract-related documents and records.

2. Progress Claims & Payment Management

  • Prepare and submit monthly progress claims to clients.
  • Review and certify subcontractor and supplier claims.
  • Monitor payment status and follow up on outstanding payments.

3. Variation Orders (VO) & Claims

  • Prepare and submit Variation Order (VO) proposals and supporting documentation.
  • Evaluate additional works and contractual entitlements.
  • Assist in Extension of Time (EOT) submissions where applicable.

4. Cost Monitoring & Commercial Management

  • Monitor project costs against approved budgets.
  • Prepare cost reports and commercial updates for management review.

5. Procurement & Subcontract Management

  • Assist in sourcing, evaluating, and selecting subcontractors and suppliers.
  • Prepare Letters of Award (LOA), subcontract agreements, and purchase orders.

6. Documentation & Reporting

  • Maintain proper filing of contracts, claims, variations, correspondence, and project records.

7. Risk & Compliance Management

  • Identify potential contractual and commercial risks.
  • Ensure compliance with Company policies, contract requirements, and relevant regulations.

Job Requirements

Education:

  • Diploma's/Bachelor’s Degree in Quantity Surveying, Construction Management, Civil Engineering, Building Technology, or related discipline.

Experience:

  • Minimum 2 years of experience in contract administration, quantity surveying, commercial management, or related role within the construction industry.

Knowledge & Technical Skills:

  • Knowledge of progress claims, VO, EOT, and final accounts.
  • Proficient in Microsoft Excel and Word.

Competencies:

  • Strong analytical, negotiation, communication, and organizational skills.
  • Ability to work independently and meet deadlines.

Key Performance Indicators (KPIs)

  • Timely submission of progress claims and contractual documentation.
  • Successful recovery and management of variation order claims.
  • Accuracy and completeness of contract records and reports.
  • Effective monitoring and control of project costs.
  • Compliance with contractual requirements and Company procedures.
