We are seeking an Assistant Manager to lead compensation, benefits and performance management. The role ensures accurate payroll, compliance and effective rewards programmes while enhancing HR systems, analytics and employee benefits. Drive impactful HR improvements and shape a rewarding employee experience.
Performance Management
- Develop and implement university-wide performance management systems, ensuring consistent performance tracking and rewards tools.
- Provide guidance and training on performance management best practices to managers and employees.
- Support the design of a comprehensive rewards and recognition program.
- Use HR analytics to identify trends related to performance and rewards.
- Monitor performance data to identify improvement areas.
Compensation and Benefits Management
- Oversee end-to-end payroll management, collaborating with Finance for reporting and reconciliation.
- Ensure payroll processing complies with statutory requirements and labour laws.
- Maintain accuracy of employee data in the HCM System, particularly for payroll, leave, and cessation management.
- Administer compensation management, including employee anniversary increments and bonus.
- Administer benefit management, covering medical coverage, leave, and education sponsorship.
- Conduct market research and benchmarking for competitive compensation practices.
- Stay informed about trends and best practices in compensation, benefits, and recognition programmes.
Compensation - Employee Anniversary Increment
- Coordinate and administer the anniversary increment process for employees, following organizational policies and procedures.
- Prepare and distribute increment letters to inform employees about their salary adjustments.
- Update and maintain accurate records of annual increment decisions, ensuring data integrity and confidentiality.
- Collaborate with payroll administrators to ensure accurate and timely processing of salary adjustments in the payroll system.
- Respond to employee inquiries regarding annual increments and provide guidance on the organization's increment policies.
- Assist in developing and improving increment administration processes and policies to enhance efficiency and effectiveness.
- Monitor and track the overall increment budget.
Compensation - Ex-Gratia Administration
- Coordinate the Ex-Gratia reward process, ensuring compliance with company policies and guidelines.
- Collaborate with management to determine eligibility criteria for Ex Gratia rewards based on performance, tenure, or other factors.
- Collect and analyse data on employee performance and contributions to verify eligible recipients of Ex Gratia rewards.
- Calculate reward amounts based on predefined guidelines for final approval.
- Prepare and distribute Ex Gratia reward letters.
- Coordinate with payroll administrators for timely and accurate payment of Ex Gratia rewards.
- Maintain accurate records and documentation related to Ex Gratia rewards.
- Monitor and track overall expenditure on Ex Gratia rewards.
- Prepare reports and analysis on the distribution of Ex Gratia rewards, highlighting trends and outcomes.
Benefit – Medical Coverage
- Oversee the efficient administration of staff medical coverage, managing processes such as enrolment, termination, and changes.
- Monitor medical coverage claims to ensure timely and accurate processing.
- Maintain up-to-date and accurate records of employees' medical coverage, conducting regular audits and quality checks.
- Collaborate with third-party providers to address inquiries and ensure smooth operations.
- Provide guidance to employees regarding medical coverage options, eligibility, and claims procedures, and promote wellness initiatives.
- Analyse market trends and benchmark data to evaluate plan options, recommending changes or enhancements to the medical benefits.
Audit-Related Tasks
- Receive and review audit data requests from internal and external auditors.
- Retrieve and compile data from various sources to fulfil audit data requests.
- Analyse and validate data to ensure accuracy, consistency, and compliance with audit requirements.
- Maintain documentation and records of audit data requests, including data sources and outcomes.
- Respond to inquiries and provide explanations on data sources, methodologies, and findings to auditors and relevant parties.
- Conduct periodic departmental audits on documentation compliance and accuracy for potential internal and external audits.
HCM System
- Act as the System Administrator for the Human Capital Management (HCM) system, addressing and resolving inquiries related to system functionality.
- Provide comprehensive support and training to staff on effectively utilizing the HR System.
- Assist in managing system updates and handling change requests to ensure optimal performance and user satisfaction.
HR Support and Services
- Ensure excellent customer service by providing effective and competent advice relevant to the portfolio.
- Respond to requests and emerging issues within the portfolio in a timely and professional manner.
- Collaborate with other HR team members on HR projects and initiatives.
- As required, undertake other responsibilities assigned by the Manager, Human Resources, and Senior Director, Admin & HR.
Requirements:
- Bachelor’s Degree in Human Resource Management, Business Administration or a related field.
- Minimum 5-7 years of relevant experience in Human Resources, with strong exposure to Compensation & Benefits, Performance Management, Payroll, and HR Operations.
- Experience as an HR Generalist is an added advantage.
