About the role

JTM AUTO SERVICES (juru) is seeking a dedicated Service Advisor/Admin Clerk to join our team in Penang. This is a full-time position that plays a crucial role in bridging communication between our workshop operations and our valued customers. As Service Advisor/Admin for Workshop, you will be responsible for managing customer inquiries, coordinating workshop activities, and ensuring seamless administrative support to keep our operations running efficiently. This position is integral to maintaining our high standards of customer service and operational excellence.

Key responsibilities

1. Greet customers and attend to their service inquiries with professionalism and courtesy

2. Schedule vehicle service appointments and manage the workshop calendar to optimise workflow

3. Prepare and maintain accurate service records, job cards, and documentation

4. Communicate with customers regarding service progress, updates, and completion status

5. Process invoices, quotations, and payment transactions

6. Coordinate with workshop technicians to ensure timely completion of vehicle services

7. Handle telephone and email correspondence professionally

8. Maintain inventory records of service parts and supplies as needed

9. Provide administrative support to workshop management and ensure compliance with operational procedures

10. Address customer concerns and complaints promptly and professionally

What we're looking for

1. Minimum 1-2 years of experience in an administrative role, ideally within an automotive service environment or workshop setting

2. Strong organisational and time management skills with the ability to multitask effectively

3. Excellent communication skills, both written and verbal, in English and Bahasa Malaysia

4. Proficiency in using computer systems and Microsoft Office applications (Word, Excel, Outlook)

5. Customer service-focused mindset with a friendly and professional demeanour

6. Ability to work collaboratively with workshop technicians and management

7. Attention to detail and accuracy in record-keeping and administrative tasks

8. Problem-solving ability and flexibility in a fast-paced environment

9. Basic knowledge of automotive terminology and service procedures is advantageous

10. Punctuality and reliability in attendance
