About the role

We are seeking an Administrative Assistant to join the team at TOPLINE DENTAL CONCEPT SDN. BHD. in Puchong, Selangor. This is a full-time position that plays a vital role in ensuring the smooth day-to-day operations of our dental practice. As an Administrative Assistant, you will be the backbone of our office, providing essential support to ensure our team can focus on delivering exceptional patient care.

Key responsibilities

     Order & Billing Management: Drive the end-to-end billing process, including the accurate issuance of Delivery Orders (DO) and Sales Invoices. Prepare sales quotations and record all sales orders to facilitate seamless stock ordering.

     Logistics & Coordination: Collaborate closely with the sales team to process orders and arrange deliveries. Work hand-in-hand with the warehouse team to ensure timely dispatch and assist with daily stock control.

     Customer Support: Act as a point of contact for customers, professionally handling calls and addressing inquiries regarding delivery operations.

     Team Liaison: Coordinate effectively with delivery personnel and store staff on daily operations.

     General Administration: Maintain an organized workspace by handling general administrative duties, including document filing and data entry. Undertake any ad-hoc tasks assigned by management.

What we're looking for

     Education: Minimum SPM, "O" Level, Diploma, or Advanced/Higher/Graduate Diploma in any field.

     Experience: Previous experience in administrative or clerical roles is highly preferred. However, driven and motivated Fresh Graduates are encouraged to apply!

     Language Proficiency: Excellent communication skills in both English and Bahasa Malaysia.

     Proficient in Microsoft Office (Word, Excel) and SQL Software.

     Personal Attributes: We are looking for a mature, self-motivated individual with a pleasant personality. You should be highly capable of multi-tasking and trusted to work independently with minimal supervision.
