1. Job Purpose
The Import & Export Logistics Executive is responsible for coordinating and managing the company’s import and export activities, including shipment arrangement, forwarding coordination, customs documentation, delivery scheduling, and communication with internal departments, customers, suppliers, forwarding agents, transporters, and relevant authorities.
This role ensures all import and export shipments are arranged accurately, efficiently, and in compliance with company procedures, customer requirements, shipping requirements, and applicable import/export regulations.
2. Key Responsibilities
A. Import and Export Shipment Coordination
- Coordinate import and export shipments, including sea freight, air freight, and local delivery arrangements related to import/export activities.
- Liaise with forwarding agents, shipping lines, transporters, customs brokers, suppliers, customers, and relevant parties on shipment arrangements.
- Arrange container booking, vessel schedule, freight booking, shipping instructions, and delivery planning.
- Monitor shipment status from booking until arrival, clearance, delivery, or export departure.
- Follow up on shipment delays, customs clearance issues, document discrepancies, port matters, and urgent shipping requirements.
- Ensure internal departments and customers are updated on shipment progress and delivery schedules.
- Coordinate with warehouse or production teams to ensure goods are ready for export loading or import receiving.
B. Import and Export Documentation
- Prepare, check, and maintain import and export documents, including commercial invoices, packing lists, delivery orders, bills of lading, shipping instructions, certificates of origin, permits, customs forms, insurance documents, and other required shipping documents.
- Ensure all import and export documents are accurate, complete, and submitted within the required timeline.
- Coordinate with forwarding agents on customs declaration, clearance documents, permit applications, and other regulatory requirements.
- Review shipping documents to ensure consistency in product description, quantity, weight, HS code, country of origin, consignee details, and shipping terms.
- Maintain proper filing and records of all import/export documents in accordance with company procedures.
- Assist in preparing shipment reports, import/export summaries, and documentation tracking records.
C. Customs Clearance and Regulatory Compliance
- Coordinate with forwarding agents and customs brokers to ensure smooth customs clearance for import and export shipments.
- Ensure import and export activities comply with customs requirements, government regulations, port requirements, customer requirements, and company procedures.
- Monitor permit requirements, duty and tax matters, tariff codes, HS codes, and other import/export compliance matters where applicable.
- Assist in resolving customs queries, inspection issues, document discrepancies, shipment holds, or clearance delays.
- Keep updated on relevant import/export procedures, customs regulations, shipping requirements, and trade compliance matters.
- Escalate potential compliance risks, customs issues, or shipment delays to superior or management in a timely manner.
D. Forwarder, Shipping Line, and Vendor Coordination
- Liaise and coordinate with forwarding agents, shipping lines, freight forwarders, transporters, courier companies, and other logistics service providers.
- Compare freight charges, shipping schedules, delivery lead time, service quality, and vendor performance where required.
- Follow up on booking confirmations, vessel schedules, container release, customs clearance, port charges, and delivery arrangements.
- Check and verify freight invoices, forwarding charges, shipping line invoices, customs charges, and transport bills before submission to Finance.
- Maintain good working relationships with logistics service providers to support smooth import/export operations.
- Highlight recurring shipment, vendor, cost, or service issues to superior for improvement action.
E. Internal Coordination
- Coordinate closely with Sales, Production, Warehouse, Supply Chain, QA/QC, Finance, and Management to ensure smooth import and export operations.
- Confirm shipment readiness, product availability, packing status, quality clearance, payment status, and customer requirements before shipment arrangement.
- Ensure customer, supplier, or shipping requirements are clearly communicated to relevant internal departments.
- Provide timely shipment updates to internal teams and management.
- Assist in resolving shipment-related issues, including delays, document discrepancies, stock readiness, quality release, or changes in customer requirements.
- Support effective coordination between customers, suppliers, forwarding agents, and internal teams.
F. Cost Monitoring and Reporting
- Monitor freight costs, forwarding charges, customs duties, port charges, transport charges, and other import/export-related expenses.
- Verify invoices from forwarding agents, shipping lines, transporters, and logistics vendors before submission to Finance.
- Assist in preparing import/export cost summaries, shipment tracking reports, customs clearance reports, and other reports required by management.
- Identify cost-saving opportunities and suggest improvements to import/export processes.
- Highlight unusual charges, cost discrepancies, or recurring shipment issues to superior or management.
G. Compliance and Professional Conduct
- Comply with company policies, SOPs, approval procedures, internal controls, and import/export compliance requirements.
- Ensure all import/export activities are conducted ethically, professionally, and in the best interest of the company.
- Maintain confidentiality of customer information, supplier information, shipping documents, pricing details, vendor information, and company records.
- Ensure proper communication and reporting to immediate superior and management.
- Support continuous improvement of import/export workflow, documentation accuracy, shipment efficiency, and service quality.
- Perform other import/export or logistics-related duties as assigned by superior or management.

- Proper maintenance of import/export records and shipment tracking reports.
- Compliance with company SOPs, customs requirements, and import/export procedures.
- Responsiveness in resolving shipment issues and urgent import/export matters.
4. Job Requirements
- Candidate must possess at least a Diploma or Degree in Logistics, Supply Chain Management, International Business, Business Administration, or any related field.
- Minimum 1 to 3 years of working experience in import/export, shipping, forwarding, customs clearance, logistics, or related functions.
- Fresh graduates with strong learning attitude and interest in import/export operations may also be considered.
- Knowledge of import/export procedures, shipping documents, customs clearance, freight booking, and forwarding coordination is preferred.
- Experience in manufacturing, trading, metal, alloy, recycling, industrial materials, shipping, or forwarding industries will be an added advantage.
- Familiar with documents such as commercial invoice, packing list, bill of lading, shipping instruction, certificate of origin, customs forms, permits, and delivery order.
- Good command of English and Bahasa Malaysia. Mandarin, Japanese, or Korean language skills will be an added advantage for communication with customers, suppliers, or stakeholders.
- Good communication, coordination, planning, problem-solving, and follow-up skills.
- Strong attention to detail, sense of responsibility, and ability to meet deadlines.
- Able to work independently with minimum supervision and also work effectively as part of a team.
- Able to handle multiple shipments, urgent requests, and shipping deadlines.
- Proficient in Microsoft Office applications, especially Excel, Word, Outlook, and PowerPoint.
- Possess own transport and willing to travel or attend to port, customs, vendor, or operational matters when required.
