We are a Singapore-based construction company specialising in building painting projects, repainting and maintenance works. We are looking for a responsible and organised Project Admin Coordinator / Admin Executive to support our daily office administration, project documentation, tender submissions, and operational follow-up.
Responsibilities
- Perform general administrative duties, including filing, scanning, sorting, and maintaining company records.
- Organise and file purchase orders, invoices, delivery orders, quotations, and project-related documents.
- Prepare and issue basic documents such as invoices, delivery orders, purchase orders, and simple correspondence, subject to management approval.
- Assist in compiling tender documents, project submissions, and other required documentation.
- Maintain proper project folders for quotations, contracts, invoices, progress photos, safety documents, and client correspondence.
- Organise and file project site photos for progress claims, reports, defects, and handover records.
- Track worker records such as work passes, safety certificates, training records, medical records, and expiry dates.
- Maintain and update quotation, tender, invoice, claim, and document submission trackers.
- Follow up with suppliers, subcontractors, workers, and internal team members on documents, schedules, and outstanding items.
- Assist with basic project coordination and schedule follow-up as instructed by management.
- Perform other administrative and coordination duties as assigned.
Requirements
- Minimum GCE ‘O’ Level / Nitec / Diploma or equivalent.
- Prior admin experience is preferred.
- Experience in construction, renovation, facilities maintenance, or project admin will be an advantage.
- Able to use Microsoft Word, Excel, Outlook, and basic PDF tools.
- Organised, careful with details, and able to follow up on outstanding matters.
- Able to work independently after training.
- Good communication and coordination skills.
- Responsible, punctual, and willing to learn.
