Job Description

Responsibilities

Payroll Duties:

• Manage bi-monthly payroll for approximately 220 employees.

• Maintain master payroll file using Excel spreadsheets.

• Update attendance records daily (MC, leave, new hires, resignations, terminations).

• Process medical claims, transport claims, overtime claims, and uniform deductions.

• Follow up on MCs and leave submissions from cleaners at client sites (via post or WhatsApp).

• Process commission payments for sales personnel.

• Upload and submit payroll templates to the bank for direct credit to staff accounts.

• Maintain records of annual and medical leave balances.

• Process leave encashments, festive payouts (red packets), bonuses, and related staff payments.

• Handle AIS submission (yearly), MOM surveys (quarterly), and other periodic submissions.

• Must have hands-on experience with payroll software and be capable of sourcing and implementing a new system within 6 months (critical).

HR and Administrative Duties:

• Arrange training courses and apply for training grants.

• Liaise with manpower agencies for new staff placements.

• Handle daily recruitment calls.

• Manage application, renewal, and cancellation of work passes; book air tickets for foreign workers departures.

• Stay up-to-date and ensure compliance with MOM regulations and policies.

• Coordinate with insurance agents for annual workmen compensation (renewals or new quotations).

• File insurance claims and report incidents to MOM when required.

• Handle administrative paperwork: print and mail payslips, issue HR letters, circulars, and employment contracts.

• Maintain systematic filing of HR and payroll documents.

Requirements:

• Minimum 3 years of relevant experience in payroll and HR functions.

• Able to independently manage payroll for around 200 employees on a bi-monthly basis.

• Well-versed in CPF, MOM guidelines, and local employment regulations.

• Resourceful with strong administrative, coordination, and communication skills.

• Proficient with numbers and meticulous in handling payroll matters.

• Capable of multitasking and working effectively under pressure.

• Willing and able to work overtime when required.
