About the Role
We are seeking a detail-oriented and organised Admin Assistant to join our team at our Puchong, Selangor office on a full-time basis. In this role, you will provide essential administrative support to ensure the smooth operation of our office and support various departments within the organisation. This position is crucial in maintaining efficient workflows, managing documentation, and ensuring that our office runs seamlessly. You will be the backbone of our administrative operations, working closely with management and staff to facilitate productivity and professionalism across the company.
Key Responsibilities
Managing and organising office files, records, and documentation systems in a secure and efficient manner
Handling incoming and outgoing correspondence, including emails, post, and parcels
Scheduling and coordinating meetings, appointments, and conference facilities
Providing general administrative support to management and various departments
Maintaining office supplies inventory and placing orders as necessary
Answering and directing phone calls in a professional manner
Preparing reports, presentations, and documents as requested
Processing invoices, expense reports, and other financial documentation
Assisting with data entry and maintaining databases
Supporting human resources functions such as managing employee records and scheduling
Performing general office maintenance coordination and ensuring a clean, organised workplace
What We're Looking For
Proven experience in an administrative or office support role, ideally within a hardware or manufacturing environment
Strong organisational skills with the ability to manage multiple tasks and priorities effectively
Excellent written and verbal communication skills in English; proficiency in Bahasa Malaysia is advantageous
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software
Attention to detail and accuracy in record-keeping and documentation
Professional telephone manner and excellent customer service orientation
Ability to work independently and as part of a team in a fast-paced environment
Discretion and confidentiality when handling sensitive information
Flexible approach to work and willingness to support various departments as needed
Knowledge of basic accounting or bookkeeping practices is a plus
Proficient in Mandarin as the role requires dealing with Mandarin-speaking clients/associates.
