Job Summary
We are looking for a meticulous, reliable, and professional General Admin Assistant to provide comprehensive administrative and operational support to the family office. The ideal candidate is highly organised, proactive, and able to manage a wide range of tasks with minimal supervision. Given the nature of a family office environment, the ability to exercise discretion and maintain strict confidentiality at all times is essential.
Key Responsibilities
Office Administration & Operations
Manage and coordinate day-to-day office operations to ensure smooth and efficient functioning of the family office
Maintain and organise physical and digital filing systems, including corporate documents, contracts, correspondence, and confidential family records
Handle incoming and outgoing correspondence (emails, letters, courier) in a timely and professional manner
Manage office supplies inventory, raise purchase requests, and coordinate with vendors and service providers
Ensure the office environment is well-maintained and presentable at all times
Scheduling & Coordination
Manage the principal's and management team's calendar, appointments, and meeting schedules
Arrange and coordinate internal and external meetings, prepare agendas, record minutes, and follow up on action items
Organise travel arrangements including flight bookings, hotel accommodations, ground transportation, and travel itineraries
Coordinate logistics for events, visits, and engagements hosted by or involving the family office
Corporate & Compliance Support
Assist in the preparation and submission of corporate documents, board resolutions, and statutory filings with relevant authorities (SSM, LHDN, etc.)
Liaise with external parties including lawyers, auditors, accountants, and government agencies on administrative matters
Support renewal and tracking of business licences, permits, insurance policies, and subscriptions
Maintain a systematic register for all important deadlines, renewals, and compliance obligations
HR & Finance Administration
Assist in basic HR administrative tasks including staff attendance records, leave management, and onboarding documentation
Support payroll coordination and liaise with the appointed payroll/accounting service provider
Process staff claims and reimbursements, verify supporting documents, and maintain proper records
Assist in tracking petty cash and basic expense reporting
Personal & Family Office Support
Provide personal administrative support to the principal when required, including managing personal appointments and lifestyle-related arrangements
Handle ad hoc tasks and special projects as directed by the principal or management
Requirements
Qualifications
Minimum Diploma; Bachelor's Degree in Business Administration, Management, or related field preferred
Additional certifications in office management or secretarial studies are an advantage
Experience
Minimum 1–3 years of working experience in an administrative or executive assistant role
Prior experience supporting C-suite executives, high-net-worth individuals, or working within a family office / private wealth environment is highly regarded
Skills & Competencies
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Excellent command of written and spoken English; proficiency in Bahasa Malaysia and Mandarin is a strong advantage.
Strong organisational skills with exceptional attention to detail
High level of integrity, discretion, and ability to handle sensitive and confidential information responsibly
Positive, can-do attitude with the ability to multitask and adapt in a dynamic environment
Good interpersonal skills and a professional demeanour when interacting with internal and external stakeholders
Willingness to go beyond standard working hours when required by the nature of the role
