Responsibilities

HR & Admin Assistant


Position Summary

We are seeking a proactive and detail-oriented HR & Admin Assistant to support the day-to-day Human Resources and Administrative operations of the company. The successful candidate will assist in employee lifecycle management, office administration, recruitment coordination, payroll support, and general HR activities to ensure smooth business operations.


Key Responsibilities


1) Human Resources

  • Support recruitment activities, including posting job advertisements, screening resumes, scheduling interviews, and coordinating with candidates.
  • Assist in employee onboarding and offboarding processes.
  • Prepare employment contracts, confirmation letters, and other HR-related documentation.
  • Maintain and update employee records, ensuring accuracy and confidentiality.
  • Coordinate employee benefits administration and insurance matters.
  • Assist with leave administration, attendance tracking, and HR system maintenance.
  • Support payroll preparation by compiling employee information and relevant payroll data.
  • Ensure compliance with company policies and employment regulations.
  • Assist in organizing employee engagement activities, training sessions, and company events.
  • Respond to employee queries regarding HR policies and procedures.


2) Administration

  • Manage office supplies, equipment, and inventory.
  • Coordinate office maintenance, facilities management, and vendor relationships.
  • Provide administrative and coordination support to Management and senior leadership. E.g. Manage calendars, schedule meetings, and coordinate appointments.
  • Assist with travel arrangements, accommodation bookings, and event logistics when required.
  • Handle incoming correspondence, courier services, and general office administration.
  • Maintain proper filing systems for company records and documents.
  • Support management with administrative tasks and ad-hoc projects.
  • Assist in preparing reports, presentations, and meeting documentation.


3) General Support

  • Liaise with external vendors, service providers, and government agencies when necessary.
  • Support company audits and compliance-related documentation.
  • Perform other HR and administrative duties as assigned by management.


Requirements

  • Diploma or bachelor’s degree in human resource management, Business Administration, or a related field preferred. Candidates from other disciplines with a strong interest in Human Resources and Administration are also welcome to apply.
  • 1–3 years of relevant HR and administrative experience preferred.
  • Fresh graduates with strong interest in Human Resources are welcome to apply.
  • Good knowledge of Singapore Employment Act and HR practices will be advantageous.
  • Proficient in Google Workspace applications, including Gmail, Google Calendar, Google Meet, Google Docs, Google Sheets, and Google Slides. Familiarity with Microsoft Office applications (Word, Excel, and PowerPoint) will be an advantage.
  • Experience with HR systems (e.g.QuickHR) is an advantage.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Positive attitude, willingness to learn, and ability to work independently.

Reporting Line

This position reports directly to the Regional HR Manager or designated supervisor.
