Responsibilities

JOB SUMMARY

We are seeking a proactive, detail-oriented, and experienced Senior Human Resources Executive to oversee the full spectrum of Human Resources and Administrative functions. The successful candidate will play a key role in supporting business operations through effective management of recruitment, employee relations, payroll, statutory compliance, foreign worker and expatriate administration, and general office administration. This position requires strong organizational skills, sound knowledge of Malaysian employment laws, and the ability to work independently in a fast-paced environment.


KEY RESPONSIBILITIES

  • Manage the full spectrum of human resource functions, including recruitment, onboarding, confirmation, training and development, performance management, employee engagement, compensation and benefits, and employee relations.
  • Coordinate and execute recruitment activities, including job postings, candidate screening, interview arrangements, reference checks, and onboarding processes.
  • Maintain and update employee records, HR databases, personnel files, and HR documentation in accordance with company policies and legal requirements.
  • Administer employee attendance, leave management, disciplinary matters, grievances, and exit management processes.
  • Support performance appraisal exercises and implementation of HR policies and procedures.
  • Ensure compliance with the Malaysian Employment Act, Industrial Relations Act, and other relevant labor regulations.
  • Liaise with government authorities and statutory bodies including KWSP (EPF), PERKESO (SOCSO), EIS, LHDN, HRD Corp, Jabatan Tenaga Kerja (JTK), and other relevant agencies.
  • Organize employee engagement activities, training programs, wellness initiatives, and company events.
  • Manage and process monthly payroll accurately and within stipulated timelines.
  • Ensure timely submission and payment of statutory contributions, including EPF, SOCSO, EIS, PCB, and other mandatory deductions.
  • Prepare payroll reports, reconciliation reports, and HR-related reports for management review.
  • Maintain payroll records and ensure compliance with local legislation and company policies.
  • Handle end-to-end foreign worker administration, including quota applications, work permit applications, renewals, cancellations, FOMEMA arrangements, hostel compliance, and repatriation processes.
  • Manage expatriate employment matters, including Employment Pass (EP), Professional Visit Pass (PVP), Dependant Pass, renewals, cancellations, and related immigration requirements.
  • Liaise with the Immigration Department, Ministry of Human Resources, embassies, agents, and other relevant authorities regarding foreign worker and expatriate matters.
  • Ensure compliance with all statutory and regulatory requirements relating to foreign workers and expatriates.
  • Oversee general administrative functions to ensure smooth office operations.
  • Manage office supplies, company assets, vendor coordination, maintenance services, and administrative documentation.
  • Assist in coordinating company meetings, travel arrangements, accommodation bookings, and other business support activities.
  • Maintain proper filing systems and document control procedures.
  • Provide administrative support to management as required.
  • Prepare HR and administrative reports as required by management.
  • Participate in HR projects, process improvement initiatives, and policy implementation exercises.
  • Undertake any ad hoc HR and administrative duties assigned by management from time to time.


JOB REQUIREMENTS

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management, or related disciplines.
  • Minimum 5 years and above of relevant working experience in human resources and Administration.
  • Experience in handling payroll processing and statutory compliance.
  • Hands-on experience in managing foreign worker and expatriate applications, renewals, and compliance matters will be an added advantage.
  • Sound knowledge of the Malaysian Employment Act, Industrial Relations Act, labor regulations, and statutory requirements.
  • Familiar with EPF, SOCSO, EIS, PCB, HRD Corp., JTK, immigration processes, and FOMEMA requirements.
  • Experience in the plantation industry will be an added advantage.
  • Proficient in Microsoft Office applications, particularly Microsoft Word and Excel.
  • Knowledge of HRMS, payroll systems, UBS Payroll, EasyPay, or Worsky HRM systems will be an added advantage.
  • Excellent communication and interpersonal skills.
  • Able to communicate effectively in English and Bahasa Malaysia. Mandarin proficiency (written and spoken) will be an added advantage.
  • Strong organizational, problem-solving, and time management skills.
  • High level of integrity, professionalism, and confidentiality.
  • Ability to work independently with minimum supervision and manage multiple priorities.
  • Possess own transport and willing to travel when required.
  • Candidates who can commence work immediately will have an added advantage.
