Job Description

Responsibilities

The Executive shall report directly to the Operations Manager / General Manager on a daily basis.

There are 4 main areas of responsibilities which include:

A. Operations & Facility Management

B. Duty Management & Guest Relations

C. Procurement & Vendor Management

D. Supervision & Administration

A. Operations & Facility Management

  • Oversee and manage all day-to-day operations and Club facilities to ensure services run smoothly and meet expected standards

  • Perform simple general maintenance and minor repair works required to keep facilities in good, safe working condition

  • Supervise, guide and coordinate the work of in-house technicians to ensure timely upkeep of premises and equipment

B. Duty Management & Guest Relations

  •  Double up as Duty Manager and work on rotating shifts including weekends and Public Holidays

  • Monitor and maintain orderly behaviour of members and guests, addressing any feedback or complaints promptly in person, over the phone or via email

  • Prepare and submit a written Duty Manager report at the end of each shift

C. Procurement & Vendor Management

  • Source and obtain competitive quotations from suppliers and contractors; seek necessary approval and raise purchase requisitions

  • Ensure all agreements and contracts are in force and renewed a minimum of 3 months ahead of expiry

  • Work closely with Orchid Country Club and/or NTUC Club to aggregate procurement of services and goods wherever possible

  • Conduct comparative sourcing of quotations for all procurement processes

  • Assist in writing of approval papers for procurement of services and goods

D. Supervision & Administration

  • Assist in the supervision of tenancy and managing tenants to ensure compliance with club policies and lease terms

  • Perform any other ad-hoc duties as assigned by the management from time to time

Requirements

  1. Minimum Diploma or Degree Certification

  2. MS Office (Word, Excel, Power Point) proficient

  3. Team Player

  4. Courteous and Service Oriented

  5. Able to work with tight timelines

  6. Requirement to work on weekends subjected to work schedule
