Job Summary
We are seeking a proactive Office Assistant to provide administrative, finance, and import/export documentation to support one of our group of companies, ideal for fresh graduates or those seeking career growth in administration or business operations.
Responsibilities
- Provide daily administrative support across business units to ensure smooth operations
- Manage correspondence, scheduling, and coordination to facilitate effective communication and workflow
- Maintain accurate records, databases, and filing systems for easy retrieval and compliance
- Perform data entry and manage documents to support operational efficiency
- Support ad-hoc administrative projects and operational tasks as needed
- Assist with invoice preparation and maintain financial documentation accuracy
- Support Accounts Receivable and Accounts Payable processes to ensure timely financial transactions
- Prepare reports and supporting documents to assist finance and management teams
- Prepare and verify shipping and trade documents, including invoices, packing lists, bills of lading, and certificates of origin, to ensure shipment accuracy
- Coordinate with suppliers, freight forwarders, logistics providers, and customers to track shipment documentation and status updates
- Ensure compliance with company procedures and regulatory requirements related to import/export documentation
- Maintain organized records of all import and export documentation for audit and reference
- Assist in resolving discrepancies and shipment-related issues to minimize delays and errors

- Diploma, Higher NITEC, Degree, or equivalent qualifications
- Experience in administration, finance support, logistics, supply chain, or import/export operations is advantageous but not mandatory
