Responsibilities
We're Hiring | Executive & Office Administrator
Georgetown, Penang
BETA ARCHITECTS is an award-winning boutique architectural practice committed to creating thoughtful, context-driven architecture that positively impacts communities and everyday life.
We are looking for a dependable and highly organised Executive & Office Administrator to support the Principal Architect and ensure the smooth running of our studio operations.
This role is ideal for someone who enjoys bringing order to a creative environment and takes pride in keeping people, schedules, and systems well organised.
Key Responsibilities
Executive Support
• Manage the Principal Architect's calendar, appointments, and daily schedule.
• Accompany the Principal to meetings and prepare accurate meeting minutes and follow-up action lists.
• Coordinate meeting arrangements and assist with presentation preparation.
• Arrange travel itineraries, including flights, accommodation, transportation, and event registrations.
• Support the Principal with correspondence and general administrative matters.
Office Administration
• Oversee the day-to-day administration of the studio.
• Welcome visitors and handle incoming calls, emails, and correspondence professionally.
• Maintain office filing systems, records, and document archives.
• Monitor office supplies and coordinate purchases when required.
• Assist with data entry, document formatting, and recordkeeping.
• Support internal communications and meeting preparations.
Basic HR Administration
• Maintain staff attendance and leave records.
• Coordinate staff claims and administrative documentation.
• Assist with onboarding and maintaining employee records.
Basic Accounts Administration
• Prepare and organise invoices, payment vouchers, and expense claims for review.
• Track incoming and outgoing payments and maintain basic financial records.
• Monitor petty cash and office expenses.
• Assist in compiling documents required for bookkeeping and monthly accounts.
• Liaise with external accountants, payroll providers, auditors, and statutory bodies when necessary.
Requirements
• Strong organisational and administrative skills with the ability to prioritise multiple tasks.
• Excellent written and verbal communication skills.
• Ability to take accurate meeting minutes and follow through on action items.
• High attention to detail, reliability, discretion, and professionalism.
• Proficiency in Microsoft Office, Google Workspace, email, calendars, spreadsheets, and word processing.
• Positive attitude with strong interpersonal skills and a collaborative mindset.
• Ability to work independently in a fast-paced studio environment.
Added Advantage
• Previous experience in an architectural, construction, interior design, engineering, or other professional services environment will be an added advantage.
• Familiarity with bookkeeping software such as SQL, AutoCount, QuickBooks, or similar systems is a plus.
Qualifications
• Minimum SPM qualification. Diploma or post-secondary education is preferred.
• Minimum 2 years of relevant administrative experience preferred.
• Full-time, on-site position based in Georgetown, Penang.
