Job Requirements:
Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, or equivalent qualification in Business Administration, Marketing, Management, or a related field.
Minimum 1–2 years of working experience in Sales Administration, Sales Coordination, Customer Service, or a related field. Fresh graduates with a positive attitude and willingness to learn are encouraged to apply.
Good command of written and spoken English and Bahasa Malaysia. Proficiency in Mandarin will be an added advantage to effectively communicate with Mandarin-speaking customers.
Proficient in Microsoft Office applications, particularly Microsoft Excel and Word.
Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
Good communication and interpersonal skills with the ability to interact effectively with customers, sales personnel, and internal departments.
Strong attention to detail and accuracy in handling quotations, purchase orders, reports, and customer documentation.
Job Responsibilities:
Prepare and process quotations, purchase orders, price lists, consignment notes, sample requests, and other sales-related documentation.
Handle customer correspondence, inquiries, and complaints, ensuring timely follow-up, resolution, and proper documentation.
Monitor and coordinate customer orders from receipt to delivery, ensuring accurate order processing, stock availability, timely fulfillment, and regular updates to customers on order status and ETA.
Communicate proactively with customers regarding any order, pricing, or delivery issues, and propose suitable alternative solutions when requirements cannot be met.
Coordinate with internal departments, including Production, Purchasing, and Logistics, to ensure smooth order processing and on-time delivery.
Review and verify customer purchase orders, sample requests, product specifications, quantities, delivery locations, and delivery schedules to ensure accuracy and compliance with customer requirements.
Verify product pricing, maintain pricing records, and provide pricing updates to customers when required.
Maintain accurate customer information, sales records, and filing systems, ensuring proper documentation and data integrity.
Prepare daily and sales reports, KPI reports, and other management reports as required.
Provide administrative and operational support to the Sales Team and assist in achieving monthly sales and collection targets.
Any ad hoc tasks as assigned by superior.
