Responsibilities
Job Description (JD):
The Human Resource Executive is responsible for supporting and executing day-to-day HR operations across key functions such as recruitment, training & development, employee relations, and employee engagement. This role plays a critical part in ensuring HR policies and procedures are followed, and that staff-related matters are handled professionally and in a timely manner.
Job Responsibilities (JR):
1. Recruitment & Onboarding
Manage the end-to-end recruitment process, including job posting, screening, interviewing, and shortlisting candidates.
Coordinate onboarding activities for new hires, including orientation and induction programs.
Maintain and update employee records and HR databases.
2. Training & Development
Assist in identifying training needs and coordinating training programs for employees.
PIC for HRDC grant applications.
Maintain training records and related documentation.
3. Employee Relations & Discipline
Support the enforcement of company policies and procedures.
Handle employee disciplinary matters and escalate issues when necessary.
Assist in managing grievances, counseling sessions, and performance improvement plans.
4. Staff Welfare & Events
Plan and coordinate staff engagement activities and company events (e.g., annual dinner, festive celebrations, team building).
Support initiatives to improve employee morale and workplace culture.
5. Letter Preparation
Prepare various HR letters and documentation (e.g., confirmation, promotion, resignation, warning letters).
6. Attendance
Handle and monitor staff attendance using the Info-Tech HRMS system.
Assist in compiling and verifying monthly attendance, overtime, leave, and allowances.
7. Others
Assist in applying for, renewing, and maintaining documentation for foreign worker work permits and related matters.
Undertake other HR-related duties as assigned from time to time.
Job Requirements
Education:
Bachelor’s Degree or Diploma in Human Resource Management, Business Administration, or a related field.
Experience:
Minimum 2–4 years of working experience in a similar HR role.
Knowledge & Skills:
Hands-on experience in recruitment, employee relations, and training coordination.
Proficient in Microsoft Office (Excel, Word, PowerPoint); knowledge of Info-Tech systems is an advantage.
Proficiency in English and Bahasa Malaysia is required. Mandarin proficiency is a strong advantage due to coordination with external stakeholders.
Ability to work independently and collaboratively within a team.
Familiarity with Malaysian labour laws and HR practices is a plus.
Willingness to adapt and take on ad hoc tasks as needed.
