Job Description

Responsibilities

Responsibilities:

Oversee daily office operations and ensure a productive working environment.

Develop, implement, and maintain administrative systems, policies, and procedures.

Coordinate office maintenance, repairs, housekeeping, and facility management activities.

Manage office assets, equipment, supplies, and inventory.

Monitor administrative budgets and expenditures.

Documentation & Records Management

Maintain proper filing systems for corporate records, contracts, licenses, and company documents.

Ensure confidentiality and security of company records.

Prepare correspondence, reports, presentations, and administrative documentation.

Monitor the renewal of company registrations, licenses, permits, and subscriptions.

Procurement & Vendor Management

Source, evaluate, and liaise with suppliers, contractors, and service providers.

Obtain quotations and coordinate procurement activities.

Monitor vendor performance and ensure timely delivery of services and goods.

Process purchase requisitions and administrative-related payments.

Facilities & Asset Management

Manage company facilities, office space allocation, and workplace improvements.

Maintain records of company assets and equipment.

Coordinate preventive maintenance schedules for office equipment and facilities.

Ensure workplace health, safety, and environmental requirements are met.

Administrative Support

Provide administrative support to Management and department heads.

Coordinate meetings, appointments, travel arrangements, accommodation, and events.

Assist in organizing company functions, training programs, and corporate activities.

Support inter-departmental coordination and communication.

Compliance & Governance

Ensure compliance with company policies and administrative procedures.

Assist in audits and provide administrative records as required.

Monitor adherence to statutory and regulatory administrative requirements.

Recommend process improvements to enhance efficiency and cost control.

Team Supervision

Supervise administrative assistants, receptionists, drivers, dispatch personnel, and support staff where applicable.

Allocate tasks and monitor performance of administrative support personnel.

Provide coaching and guidance to administrative team members.

Qualifications

Diploma or Bachelor's Degree in Business Administration, Management, Human Resources, or related field.

Minimum 5–8 years of relevant administrative experience, preferably in a corporate environment.

Experience in office management, facilities administration, procurement, and vendor management.

Knowledge, Skills & Competencies

Strong organizational and time management skills.

Excellent communication and interpersonal abilities.

Good report writing and documentation skills.

Strong problem-solving and decision-making capabilities.

Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Ability to manage multiple priorities and deadlines.

High level of integrity, professionalism, and confidentiality.

Leadership and supervisory skills.
