Requirements:
1. Bachelor’s Degree in Business Administration, Facilities Management or related field.
2. Minimum 3-5 years of experience in facilities management and administrative management
3. Knowledge og business law, contract law, and safety regulations
4. Strong organizational and problem solving skills
5. Good communication and negotiation skills
6. Proficient in Microsoft Office (Excel, Word)
Responsibilities:
1. Facility Management
• Manage and maintain all company facilities, including buildings, equipment, and infrastructure
• Plan and execute preventive and corrective maintenance programs
• Ensure compliance with safety regulations, building codes, and statutory requirements
• Liaise with contractors, vendors, and service providers
• Monitor utilities usage and implement cost-saving initiatives
• Oversee security systems, cleaning services, and pest control
• Manage space planning and workplace improvements
2. Administrative Management
• Oversee daily administrative operations and office management
• Maintain proper records of company assets and documentation
• Develop and implement administrative SOPs and policies
• Coordinate meetings, company events, and internal communication
• Manage company vehicles, travel, and accommodation
3. Risk Management
• Identify, assess, and mitigate operational and facility-related risks
• Develop and implement risk management policies and procedures
• Conduct regular risk assessments, safety inspections, and audits
• Ensure business continuity planning (BCP) and emergency response readiness
• Investigate incidents and recommend corrective actions
• Maintain risk registers and reporting to management
4. Legal & Compliance
• Ensure compliance with business law, contract law, and local regulations
• Review, draft, and manage contracts, agreements, and legal documents
• Liaise with legal advisors, authorities, and regulatory bodies
• Ensure proper handling of licenses, permits, and insurance policies
• Support internal and external audits with proper documentation
• Monitor changes in laws and regulations affecting company operations
5. Budget & Cost Control
• Prepare and manage facilities and administration budgets
• Monitor expenses and implement cost control measures
• Negotiate contracts to achieve cost efficiency and value
6. Team Management
• Supervise admin and facilities staff
• Provide training, guidance, and performance evaluation
• Promote teamwork and continuous improvement
Authorities:
• Authorized to approve facility maintenance and administrative expenses within the approved budget
• Authorized to appoint, evaluate, and manage vendors, contractors, and service providers
• Authorized to enforce company policies, SOPs, and safety regulations across all departments
• Authorized to review and recommend approval of contracts and agreements before management sign-off
• Authorized to access and manage company facilities, assets, and administrative resources
• Authorized to provide recommendations to management on cost-saving, improvements, and legal compliance matters
