Responsibilities
Role Summary:
The inventory Assistant will be responsible for the end-to-end management of medical supplies, consumables, and equipment. This role ensures that the clinic never faces stockouts of critical life-saving supplies while maintaining high data accuracy within our digital procurement tracking systems. You will work closely with the Procurement Officer to streamline receiving, storage, and stock auditing processes.
Key Responsiblities:
1. Receiving & Inspection: Oversee the physical receipt of all incoming shipments. Verify deliveries against Purchase Orders (POs) and pack slips to ensure quantity and quality (checking for damaged items or expired medical goods).
2. Data Entry & Systems Management: Update the internal procurement tracker (ProcurePilot/pro2tracker) in real-time. Ensure all stock movements (ins/outs) are recorded accurately to maintain "live" inventory levels.
3. Stock Organization: Maintain a clean, organized, and logically arranged storage area. Implement and manage labeling systems (QR/Barcoding) to improve retrieval times.
4. Inventory Audits: Conduct regular cycle counts and full monthly stock-takes to reconcile physical counts with digital records. Identify and investigate discrepancies.
5. Stock Level Monitoring: Monitor "Low Stock" alerts and notify the Procurement Officer when items reach reorder points. Assist in preparing internal requisitions.
6. Vendor Liaison: Coordinate with delivery drivers and suppliers regarding delivery schedules and returns for damaged or incorrect items.
Qualification:
1. Minimum 1 years of experience in inventory, warehousing or retail stock management.
2. Experience in a medical or veterinary setting is a significant advantage.
3. Must be highly comfortable using digital tools. Experience with Google Workspace (Sheets, Drive) is essential, as our tracking is built on these plattorms.
4. High level of accuracy in data entry and physical counting. In a medical environment, the difference between "1 box" and "1 vial" is critical.
5. Ability to handle physical tasks, including unboxing shipments and organizing shelves.
6. Strong verbal and written communication skills for reporting discrepancies and coordinating with the team.
Skills:
1. Familiarity with medical/veterinary terminology and supplies.
2. Basic understanding of "First-In, First-out" (FIFO) principles for perishable medical goods.
3. Willingness to learn and adapt to custom AI-integrated tracking workflows.
Job Type: Full-time
Pay: RM2,000.00 - RM2,500.00 per month
