Responsibilities

Location: Grand SwissBel Hotel Melaka
Department: Sales & Marketing
Reports To: Senior Director of Sales & Marketing

Job Summary

The Event Manager is responsible for planning, organizing and executing all events, meetings, conferences, weddings and banquets hosted at Grand Swiss Bel Hotel Melaka. This role ensures seamless coordination between clients and internal departments to deliver exceptional guest experiences while maximizing revenue and maintaining brand standards.

Key Responsibilities

Event Planning & Coordination

  • Manage end to end planning of corporate events, meetings, social functions and weddings.
  • Conduct site inspections and client meetings to understand event requirements.
  • Prepare detailed event proposals, contracts and banquet event orders (BEO).
  • Coordinate event logistics including venue setup, decor, audiovisual requirements, catering and special arrangements.

Client Relationship Management

  • Serve as the main point of contact for event clients.
  • Maintain strong relationships with corporate clients, event planners and wedding organizers.
  • Ensure all client expectations are clearly communicated and fulfilled.
  • Handle guest feedback professionally and implement corrective actions when required.

Revenue & Sales Support

  • Work closely with the Sales team to achieve event revenue targets.
  • Upsell additional services including F&B packages, decor enhancements and room bookings.
  • Monitor event profitability and cost control.
  • Prepare event forecasts and reports for management review.

Operational Coordination

  • Liaise with Front Office, Housekeeping, Kitchen, Banquet and Engineering departments to ensure smooth execution.
  • Conduct pre event briefings and post event evaluations.
  • Ensure compliance with hotel policies, safety regulations and brand standards.

Administration & Reporting

  • Prepare contracts, invoices and event documentation accurately.
  • Maintain updated client database and event records.
  • Submit weekly and monthly performance reports.

Requirements

  • Diploma or Degree in Event Management, Business Administration or related field.
  • Minimum 2 or 3 years of experience in Sales or Hotel Management.
  • Strong organizational and multitasking skills.
  • Excellent communication and negotiation skills.
  • Ability to work flexible hours including weekends or public holidays.
  • Fluency in English and Bahasa Malaysia additional languages are an advantage.
