Job Summary:
We are seeking a detail-oriented and proactive HR Assistant (Generalist) to support the Human Resources department in various administrative and HR-related tasks. The HR Assistant will be responsible for assisting with recruitment, employee relations, payroll processing, benefits administration, foreign worker management, workplace safety compliance, and adherence to company policies and labor laws. The ideal candidate will have excellent communication skills, a strong understanding of HR functions, and the ability to work in a fast-paced environment.
Key Responsibilities:
- Assist in the recruitment process, including job postings, screening resumes, scheduling interviews, and conducting initial candidate assessments.
- Support onboarding and offboarding processes, ensuring new hires receive necessary documentation and training.
- Maintain and update employee records, ensuring accuracy and compliance with company policies and labor regulations.
- Assist in processing payroll by collecting and verifying employee data.
- Help administer employee benefits programs, including health insurance, leave policies, and other company perks.
- Address employee inquiries regarding HR policies, procedures, and benefits.
- Assist in planning and coordinating employee engagement initiatives and training sessions.
- Ensure compliance with labor laws and company regulations by assisting with audits and maintaining up-to-date records.
- Support the HR team in handling employee relations matters, including conflict resolution and disciplinary actions.
- Prepare HR reports and analyze data for decision-making and strategic planning.
Foreign Workers Administration:
- Manage documentation and records for foreign workers, including passports, work permits, visa renewals, PLKS, FOMEMA matters, and related government compliance requirements.
- Liaise with relevant government agencies such as Immigration Department, Ministry of Human Resources, and other authorities regarding foreign worker matters.
- Coordinate hostel/accommodation administration, worker movement records, and related welfare matters where applicable.
- Monitor expiry dates of permits, passports, insurance, and other foreign worker documentation to ensure timely renewal and compliance.
Safety & Compliance Responsibilities:
- Assist in maintaining workplace compliance with occupational safety and health requirements, company safety policies, and statutory regulations.
- Support safety committee activities, documentation, meeting coordination, and follow-up actions.
- Assist in organizing safety training, emergency drills, toolbox briefings, and employee awareness programs.
- Maintain records related to workplace incidents, PPE issuance, training attendance, and safety audits.
- Coordinate with relevant departments during internal/external audits, inspections, and compliance reviews.
Requirements:
- Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
- Open to fresh graduates with a strong interest in Human Resources.
- Basic understanding of HR functions, labor laws, foreign worker administration, and workplace safety compliance is an advantage.
- Excellent organizational and time-management skills.
- Strong interpersonal and communication skills.
- Proficiency in Microsoft Office and willingness to learn HR software.
- Ability to handle sensitive and confidential information with discretion.
- Detail-oriented, proactive, and able to multitask effectively.
- Good discipline, strong work ethic, and a positive attitude.
