Job Description

Responsibilities

ADMIN

  • Welcome and greet visitors, guests, staff, and management professionally.
  • Handle incoming, outgoing, and transferred telephone calls courteously.
  • Take and relay messages to relevant personnel.
  • Screen calls for management when required.
  • Manage incoming and outgoing mail/courier services, including maintaining courier records and logbooks.
  • Attend to visitors and clients at the reception area.
  • Maintain cleanliness and tidiness of the reception area.
  • Ensure certificates, notice boards, clocks, and displays are updated.
  • Monitor visitor toilet supplies and maintain cleanliness.
  • Coordinate meeting room bookings.
  • Set up meeting equipment and laptops before meetings.
  • Prepare beverages for visitors, guests, and clients.
  • Ensure meeting rooms are clean and organized.
  • Assist with office decorations during festive seasons.
  • Replenish drinking water supplies when required.
  • Purchase and replenish pantry refreshments (coffee, tea, biscuits, etc.).
  • Ensure company flags are properly maintained.
  • Update and distribute staff extension lists when necessary.
  • Liaise with telephone service providers for additional lines or system requirements.
  • Monitor and maintain overall office cleanliness and coordinate maintenance works when required.
  • Liaise with government authorities and statutory bodies (e.g., CIDB, MPKJ) regarding compliance matters.
  • Process applications and renewals for company licenses, permits, and certificates.
  • Prepare correspondence and documentation for government and statutory authorities.
  • Maintain accurate records of company assets and ensure proper labelling, servicing, and security.
  • Coordinate office maintenance services, including pest control, air-conditioning, water dispensers, and furniture servicing.
  • Coordinate waste collection and prepare monthly service summaries/invoices for Accounts.
  • Prepare attendance summaries for contract workers, security personnel, and cleaners for payment processing.
  • Arrange travel bookings, visa applications, and accommodation for management and staff.
  • Assist HR in organizing company events, annual dinners, luncheons, and staff activities.
  • Purchase and arrange festive hampers and maintain supporting records for accounting purposes.
  • Manage and maintain the company's filing and document management system (DOTA File System).
  • Process directors' expense claims and verify credit card statements before submission to Accounts.
  • Monitor and ensure cleaning services are performed satisfactorily.
  • Coordinate office cleanliness in the absence of cleaning personnel.
  • Procure and replenish office supplies, stationery, consumables, and refreshments.
  • Monitor product brochure inventory and arrange reordering when necessary.
  • Process lorry claims and Touch 'n Go receipts with relevant verification.
  • Manage renewal of company vehicle insurance, road tax, PUSPAKOM inspections, and permits.

HUMAN RESOURCE

  • Coordinate foreign worker visa renewals, including passport updates, FOMEMA medical check-ups, insurance renewals, and related permits.
  • Conduct orientation for the new joiners is conducted on the 1st day
  • Update daily attendance for all staffs in the group
  • Must conduct hostel inspection weekly and update the report promptly in the group
  • Conduct routine patrols daily; log issues and coordinate resolution within 2 working days.
  • Check & verify all staffs claim by monthly

Pay: RM2,200.00 - RM2,500.00 per month
