Duties & Responsibilities
- Reports directly to the Managing Director.
- Manage, guide, coach, plan, and coordinate the department in the day-to-day operations, including administration, costing, billing, reporting, and commercial correspondence.
- Work closely with other departments within the company and group to fulfill customer requirements, ensuring efficiency, high productivity, and optimal workforce utilization.
- Prepare financial and statistical data and reports, ensuring timely availability for management review on a daily, weekly, and monthly basis.
- Initiate, plan, and recommend improvements to procedures; ensure strict compliance with SOPs, monitor KPIs, resolve issues effectively, and maintain strong internal controls.
- Assist Management in business planning, strategic alliances (internal and external), including collaboration with ship management partners, vessel owners, and both new and existing customers to drive business growth.
- Stay updated on and implement relevant rules, regulations, and legislation; ensure vessel operations comply with ISM, ISPS, ISO, and other international regulatory requirements.
- Monitor adherence to departmental risk management procedures, HSE policies, and operational standards; develop and implement frameworks for risk management and workflow improvement.
- Ensure all cost-related activities comply with procurement procedures; prepare and control project budgets to ensure execution within approved costs.
- Manage overall project execution by planning, organizing, directing, and delegating tasks to ensure all project requirements (equipment, schedule, cost, quality, and safety) are met.
- Monitor job execution (onshore and offshore); review, approve, and coordinate material and service requisitions, ensuring timely delivery.
- Analyze project progress, identify delays or changes to critical activities, and implement mitigation plans or revised schedules as required.
- Take full responsibility for overall project performance and provide consistent project status updates to Management.
- Monitor final documentation and invoicing; control and track total project expenditure, ensuring all costs, invoices, and claims are accurately recorded without leakage.
- Develop and manage effective asset lay-up strategies, including maintenance of related facilities and equipment; review and implement relevant procedures.
- Administer and coordinate asset and equipment registration, tagging, scheduled maintenance, and certification compliance.
- Supervise the Shipcare Team in planning and executing watchman services, routine inspections, and maintenance onboard vessels/assets, ensuring regular reporting to clients.
- Liaise with contractors and clients to resolve issues onboard lay-up vessels/assets, ensuring operations are conducted safely and efficiently.
- Manage incidents involving lost or damaged assets by preparing reports for clients and authorities, and proposing corrective solutions.
Pay: RM8,000.00 - RM10,000.00 per month
