Responsibilities

JOB SUMMARY

We are seeking a dynamic highly organized and experienced Executive Assistant to provide exceptional strategic and administrative support to our Managing Director (MD). This critical role plays a pivotal role in ensuring the smooth operation of the MD’s office and will be a trusted advisor and confidante.

ROLES & RESPONSIBILITIES

  • Manage the MD’s calendar, scheduling meetings, appointments, travel arrangements, and deadlines with exceptional efficiency.
  • Proactively anticipate the MD’s needs and ensure smooth workflow by prioritizing tasks and managing email and phone inquiries effectively.
  • Prepare high-quality presentations, reports, briefing materials, and other documents with accuracy, clarity, and attention to detail.
  • Maintain a confidential and professional work environment for the MD, including discreetly managing sensitive information and communications.
  • Act as a liaison between the MD, internal departments and external stakeholders, fostering strong relationships and facilitating effective communication.
  • Manage and oversee the MD’s administrative staff, delegating tasks and ensuring timely completion.
  • Conduct research and prepare briefings on relevant industry trends, competitor analysis, and other topics pertinent to the MD’s needs.
  • Manage projects independently, ensuring successful completion within established timelines and budgets.

REQUIRED EXPERIENCE

  • Minimum 8-10 years of experience as an Executive Assistant, preferably within a fast-paced and dynamic environment.
  • Proven experience supporting senior executives at the Managing Director level or higher.
  • Strong communication, interpersonal, and diplomatic skills with the ability to build rapport and navigate complex situations with tact with both internal and external stakeholders.
  • Impeccable writing and editing skills with a keen eye for detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management tools a plus.
  • Strong analytical and problem-solving skills with the ability to anticipate needs and develop proactive solutions.
  • A high degree of discretion, professionalism, and the ability to maintain confidentiality in all matters.

WORKING CONDITIONS

  • The candidate should be prepared for flexibility when required, including working extra hours, weekends and public holidays, to ensure the successful execution of time-sensitive initiatives
  • The candidate may be required for outstation or international travel as required by the MD
