Job Description

Responsibilities

PGM LUBE PTE LTD - a distributor of the fast growing Petrogulf Marine brand is looking for a highly organized and proactive Marine Operations Coordinator to manage the end-to-end operational activities of our marine lubricants business in Singapore. This role involves coordinating with blending plants, raw material suppliers, packaging suppliers, freight forwarders, warehouses, government authorities, and customers to ensure efficient procurement, production, import/export compliance, inventory management, and timely delivery of products.

The ideal candidate should have strong supply chain, logistics, procurement, and operational coordination experience within the marine, lubricant, oil & gas, chemical, or shipping industries.

Key Responsibilities

Procurement & Supplier Coordination

  • Source and negotiate with raw material suppliers, additive suppliers, packaging suppliers, and service providers to obtain the most competitive commercial and operational terms.
  • Request and evaluate quotations from multiple suppliers.
  • Monitor supplier performance regarding pricing, quality, delivery, and reliability.
  • Coordinate purchase orders and ensure timely procurement of materials and services.
  • Develop and maintain relationships with existing and potential suppliers.

Blending Plant Coordination

  • Coordinate production schedules with third-party blending plants.
  • Monitor manufacturing progress and ensure adherence to delivery deadlines.
  • Coordinate blending instructions, product specifications, packaging requirements, and dispatch schedules.
  • Resolve operational issues related to production, inventory, or quality matters.
  • Ensure required production and quality documentation is properly maintained.

Import, Export & Regulatory Compliance

  • Coordinate import and export shipments in compliance with Singapore and international regulations.
  • Liaise with government authorities including customs, port authorities, trade agencies, and regulatory bodies.
  • Ensure timely submission of permits, declarations, certificates, and shipping documentation.
  • Monitor regulatory changes affecting operations and logistics.
  • Coordinate inspections and clearances when required.

Logistics & Freight Management

  • Coordinate with freight forwarders, shipping lines, transport providers, and logistics partners.
  • Arrange local and international transportation of goods.
  • Monitor shipment status and proactively manage delays or disruptions.
  • Evaluate freight quotations and optimize logistics costs.
  • Ensure accurate preparation of shipping documents including:
  • Commercial Invoices
  • Packing Lists
  • Bills of Lading
  • Certificates of Origin
  • Customs Documentation

Warehouse & Inventory Management

  • Coordinate with warehouse operators regarding stock receipt, storage, and dispatch.
  • Monitor inventory levels and maintain adequate stock availability.
  • Conduct inventory reconciliation and stock reporting.
  • Ensure proper inventory control procedures are followed.
  • Coordinate stock transfers between locations when necessary.

Customer & Internal Coordination

  • Coordinate order fulfillment from order receipt through delivery.
  • Provide operational updates to customers and management.
  • Work closely with sales, finance, suppliers, and logistics partners to ensure smooth execution of orders.
  • Resolve operational issues affecting customer deliveries.

Cost Control & Reporting

  • Monitor procurement, logistics, and operational costs.
  • Identify opportunities for cost savings and process improvements.
  • Prepare operational reports and KPI tracking.
  • Support budgeting and forecasting activities related to operations.

Qualifications

  • Diploma or Bachelor’s Degree in Supply Chain Management, Logistics, Maritime Studies, Business Administration, Engineering, or a related field.
  • Minimum 3 years of experience in operations, procurement, logistics, supply chain, marine lubricants, chemicals, oil & gas, shipping, or related industries.
  • Experience dealing with customs, freight forwarding, import/export documentation, and third-party manufacturing facilities is preferred.
  • Knowledge of Singapore import/export procedures is advantageous.
  • PR or local would be an added advantage
