Bandar Baru Bangi, Selangor (with travel to company branches and business units as required)

Position Summary

The Human Resources Executive is responsible for managing the full spectrum of human resource functions across MedicMesir, Klinik Hello Doctor, and Resort Wadi Amna. The role is responsible for attracting, developing, retaining, and engaging employees while ensuring compliance with company policies and Malaysian employment regulations.

The Human Resources Executive shall oversee recruitment, onboarding, employee relations, performance management, compensation administration, staff development, salary reviews, promotions, disciplinary matters, and HR operations to support the organization's growth and strategic objectives.

Key Responsibilities1. Recruitment & Talent Acquisition

  • Develop and execute recruitment plans based on organizational manpower requirements.
  • Prepare and publish job advertisements across appropriate recruitment platforms.
  • Source, screen, and shortlist candidates for various positions.
  • Conduct initial interviews and coordinate hiring processes with department heads.
  • Perform reference and background checks where necessary.
  • Prepare offer letters, employment contracts, and onboarding documentation.
  • Ensure timely hiring to meet departmental staffing requirements.

2. Employee Onboarding & Confirmation

  • Coordinate employee onboarding and orientation programmes.
  • Maintain complete and accurate employee records and personnel files.
  • Monitor probation periods and coordinate employee confirmation reviews.
  • Ensure all employment-related documents are properly executed and archived.
  • Facilitate employee integration into company culture and values.

3. Payroll, Compensation & Benefits

  • Coordinate monthly payroll administration and ensure payroll accuracy.
  • Manage attendance, leave records, overtime claims, and staff benefits.
  • Ensure timely submissions and compliance with EPF, SOCSO, EIS, PCB, and other statutory requirements.
  • Maintain salary records and compensation structures.
  • Assist management in annual salary reviews and bonus exercises.

4. Performance Management

  • Coordinate employee performance appraisal processes.
  • Monitor and track employee KPIs and performance targets.
  • Facilitate probation assessments, quarterly reviews, and annual performance evaluations.
  • Prepare performance reports and recommendations for management review.
  • Support implementation of performance improvement plans where necessary.

5. Career Development & Promotions

  • Develop and maintain employee career progression frameworks.
  • Identify training and development needs across departments.
  • Coordinate internal and external training programmes.
  • Recommend promotion opportunities based on performance, competencies, and business needs.
  • Support succession planning initiatives for key positions.

6. Employee Relations & Disciplinary Management

  • Serve as the primary HR contact for employee relations matters.
  • Handle employee grievances and workplace concerns professionally and confidentially.
  • Conduct investigations into disciplinary issues and policy violations.
  • Prepare counselling records, warning letters, show-cause letters, and disciplinary documentation.
  • Promote a positive, collaborative, and high-performance work environment.

7. HR Policies, Compliance & Administration

  • Ensure compliance with the Employment Act and all applicable Malaysian labour regulations.
  • Develop, review, and update HR policies, procedures, and employee handbooks.
  • Maintain HR databases and management reports.
  • Support audits and compliance reviews related to HR matters.
  • Ensure confidentiality and proper management of employee information.

8. Strategic HR Support

  • Advise management on HR best practices and workforce planning.
  • Monitor employee turnover and retention trends.
  • Support organizational development initiatives and culture-building activities.
  • Assist management in achieving business objectives through effective people management strategies.

Key Performance Indicators (KPIs)Recruitment

  • Fill approved vacancies within targeted hiring timelines.
  • Maintain high-quality candidate selection and successful probation completion rates.

Performance Management

  • Ensure 100% completion of probation and annual performance reviews within stipulated timelines.
  • Monitor and improve employee performance metrics.

Employee Retention

  • Support employee engagement initiatives and reduce avoidable staff turnover.

Payroll & Compliance

  • Maintain payroll accuracy and timely statutory submissions.
  • Ensure zero major non-compliance incidents relating to employment regulations.

Training & Development

  • Coordinate employee training programmes according to annual development plans.
  • Improve employee competency and career progression outcomes.

Qualifications & ExperienceEducation

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Psychology, or a related field.

Experience

  • Minimum 2 years of experience in Human Resources, Recruitment, Talent Management, or a related field.
  • Experience managing recruitment, employee relations, and performance management is preferred.

Skills & Competencies

  • Strong understanding of Malaysian employment laws and HR practices.
  • Excellent communication, interpersonal, and negotiation skills.
  • Strong organizational and administrative abilities.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office and HR management systems.
  • Ability to work independently and manage multiple priorities.

Authority

The Human Resources Executive is authorized to:

  • Recommend hiring decisions to Management.
  • Recommend salary increments, promotions, and disciplinary actions.
  • Conduct interviews and employee performance reviews.
  • Implement HR policies and procedures approved by Management.

Pay: RM4,000.00 - RM6,000.00 per month
