Admin Assistant (Procurement & Trading)
Job Summary
Support procurement and trading operations by managing purchase orders, inventory, supplier relations, and import/export documentation to ensure smooth supply chain and administrative processes.
Responsibilities
- Process and generate purchase orders, delivery orders, invoices, and reports to support procurement and trading functions
- Organize and maintain correspondence files, quotations, orders, and invoices for accurate record-keeping
- Conduct daily inventory checks and prepare monthly stock movement reports to monitor stock levels
- Handle import and export activities by preparing required documents and coordinating with suppliers, shippers, and customers
- Monitor stock levels closely and maintain updated inventory records to ensure supply availability
- Source materials to meet demand by soliciting, comparing, and evaluating offers from suppliers and producers
- Negotiate contract terms and pricing with suppliers to secure favorable agreements
- Maintain regular communication with suppliers to obtain updated information on materials and services
- Interface effectively with customers, suppliers, transporters, and other vendors to facilitate smooth operations
- Collaborate with internal departments to support organizational processes
- Observe and comply with company safety regulations and procedures at all times
- Manage telephone calls by taking messages and routing them appropriately
- Perform additional administrative duties as assigned to support the team and management
Required competencies and certifications
- Proficiency in MS Excel and Microsoft Office applications to manage procurement and administrative tasks
- Minimum education level: ITE / GCE ‘O’ Level / Diploma
- 1 to 2 years of relevant experience in procurement, trading, or administrative roles
