The Whole School Trips Coordinator is responsible for ensuring that all school trips are planned, coordinated, and managed to the highest standards, meeting both educational objectives and safety requirements. The successful candidate will support all stakeholders involved in trips by overseeing their leadership, management, and administrative processes.

Key Responsibilities:

  • Coordinate the end-to-end planning of all school trips (local and overseas). 

  • Work closely with trip leaders, the Sports and Activities departments, Safeguarding Lead, Campus Clinics, Finance, Procurement and external providers that support the trips. 

  • Ensure all trips adhere to safeguarding and child protection standards and oversee risk assessments and ensure appropriate mitigation measures are in place. 

  • Act as the central point of contact for all trip-related matters 

  • Maintain a calm, decisive, and professional approach in emergency and high-pressure situations while ensuring student safety remains paramount.
  • Champion safeguarding and child protection practices and ensure all safety concerns are escalated appropriately in line with school protocols.
  • Collate feedback from staff and participants to enhance future trips and contribute to continuous policy development and best practices in school trips management.

Qualifications and Skills:

  • Bachelor’s degree in relevant discipline (such as Event Management, Hospitality, Education or a related field), or equivalent professional experience.
  • Minimum of 3 to 5 years of demonstrated experience in event planning, logistics coordination, or a similar operational role.
  • Strong knowledge of safety, risk management, and compliance practices, particularly within a school environment.
  • Excellent interpersonal and communication skills, with the ability to work effectively with students, parents, and other stakeholders from diverse cultural backgrounds.
  • Strong organizational and multitasking skills, with the capacity to manage multiple priorities effectively.
  • Well developed risk assessment skills, with the ability to identify hazards, implement appropriate control measures, and ensure activities and venues meet safety expectations.
