Requirements

  • Education: Candidate must possess at least a Professional Certificate, Diploma, or Advanced/Higher/Graduate Diploma in Finance/Accountancy/Banking, Business Studies/Administration/Management, or equivalent.
  • Experience: Minimum 2-3 years of working experience in handling basic accounting (AP/AR/Full sets) and office administration. Experience in interior design, construction, or renovation industries is a strong advantage.
  • Skills: Proficient in Microsoft Office (Word, Excel) and familiar with accounting software (e.g., AutoCount, SQL).
  • Attributes: High attention to detail, highly organized, honest, trustworthy, and able to work independently with minimal supervision.
  • Languages: Good command of written and spoken English and Bahasa Malaysia. Ability to speak Mandarin is an added advantage to liaise with specific suppliers/subcontractors.

Responsibilities

Job Summary

We are looking for a meticulous, organized, and proactive Accounts cum Admin Executive to manage our daily & full set financial accounting and studio administrative tasks. You will play a crucial role in ensuring smooth office operations, precise cash flow management, and effective coordination between project teams, suppliers, and management.

Key Responsibilities

1.Accounting & Finance

  • Handle day-to-day accounting transactions, including Accounts Payable (AP), Accounts Receivable (AR), and general ledger entries.
  • Issue sales invoices, progress claims, and official receipts to clients accurately and timely.
  • Keep track of supplier’s, progressive claims, and subcontractor payments.
  • Manage staff monthly claims, petty cash, and daily payment records/vouchers.
  • Maintain proper documentation and systematic filing of all accounting and financial records for audit purposes.
  • Prepare the yearly bank reconciliation statements, general ledgers, Statement of Comprehensive Income, and Statement of Financial Position for the year.
  • Liaise directly with external Auditors and Tax Agents on all corporate audit and tax matters where applicable Keep updated with changes in financial regulations and legislation.
  • Preparing and submit SST/service tax reports.
  • Preparing and processing accurate monthly payroll for staff including salaries, allowances, deductions, and reimbursements via company systems.
  • Ensuring timely and compliance of statutory contribution, such as EPF, SOCSO, EIS, and income tax.

2.Administrative Support

  • Manage general office administration, office utilities, stationery supplies, and maintenance of office equipment, maintain the tidiness and organization of the material library, and provide day-to-day administrative support.
  • Assist with basic HR duties, including monitoring team attendance/leaves, maintaining employee files and onboarding coordination.
  • Support project teams with administrative documentation (e.g., preparing letters of award, formal site documentation, or filing certificates).
  • Work alongside project designers to coordinate site purchasing and deliveries. Source for better-value suppliers/subcontractors, and verify that incoming quotation specifications match site requirements.
  • Coordinate with office cleaner to ensure daily facility upkeep.
  • Conduct market research and handle specialized procurement for the Director's personal and professional requests.
  • Perform any other ad-hoc administrative or accounting duties assigned by management.
