The Consulate-General (The Consulate) of the Republic of Singapore in Hong Kong is employing an individual to join us as an Assistant Manager (Properties) , where you will play an important role in all property, maintenance, procurement and some administrative matters of The Consulate. You will report directly to the Consul (Administration and Consular).
Job Responsibilities:
Property Management and Procurement
Main point-of-contact with building management and key personnels for matters pertaining to the Consulate and all Singapore Government-owned properties (The Properties) in Hong Kong.
Propose solutions and oversee maintenance/repair matters at the various Properties.
Maintain proper records of maintenance issues in all The Properties and oversee maintenance schedules.
Source and analyse quotations from vendors for assigned procurement tasks.
Ensure compliance with guidelines relating to the procedures and recording of purchases.
Office Administration and Security
Be familiar with security regulations and requirements, as well as ensure compliance by all staff and vendors to The Consulate’s requirements.
Ensure workplace health and safety compliance.
Work closely with all colleagues in The Consulate to ensure sufficient stock of office supplies, to recommend and purchase such supplies as necessary.
Vendor and Contract Management
Coordinate with external vendors as necessary such as on paperwork requirements and scheduling for maintenance/repair works at appropriate times.
Maintain list of vendors in various aspects of maintenance and property matters.
Review list of vendors annually to ensure relevance and propose updates, addition, omission as necessary.
Be familiar with The Consulate’s contracts and its vendors, liaise with vendors on scope of maintenance/repair works, timeline, payment etc, when instructed.
Others
Assist in other duties and responsibilities as appropriately assigned by the Consul (Administration and Consular).
Job Requirements:
At least an associate degree or diploma related to Property Management, Real Estate, Surveying, Business Administration, or a related discipline.
At least 2 to 5 years working experience in facilities and property management/maintenance.
Basic Microsoft Excel & Microsoft Word skills.
Able to work independently and manage multiple tasks under deadlines.
Strong attention to details and good at keeping and updating records.
Good communication, strong interpersonal skills and a team player.
Proficiency in both written and spoken English and Cantonese. Basic Mandarin is an advantage.
