Redwood is seeking a proactive, organised, and detail-oriented Project Administrator to provide administrative and coordination support across our project teams.


Role Overview

We are seeking a dedicated Project Administrator to provide comprehensive project administrative support to project teams.


The successful candidate will play an important role in supporting day-to-day project operations, coordinating documentation, facilitating communication between internal and external stakeholders, and ensuring project records and administrative processes are maintained accurately and efficiently throughout the project lifecycle.


Responsibilities

  • Provide administrative and secretarial support to project teams.
  • Support project teams in coordinating shipment arrangements, packing lists, delivery schedules, and logistics documentation.
  • Prepare and process Purchase Orders (POs) through the company's ERP system, ensuring accuracy and timely submission.
  • Coordinate departmental meetings, project discussions, and client visits, including scheduling, logistics arrangements, and meeting documentation.
  • Prepare presentation materials, reports, meeting minutes, and project-related documentation for management and project teams.
  • Maintain and update project records, databases, trackers, and filing systems to ensure proper document control and record retention.
  • Monitor and follow up on project-related administrative matters, ensuring timely completion of assigned tasks and documentation.
  • Perform general office administration duties and provide ad-hoc support to the department as assigned.


Qualifications

  • Relevant administrative and project support experience will be an advantage.
  • Proficient in Google Suite, particularly Google Sheets, Slides, Docs, Calendar and Mail.
  • Experience working with ERP systems will be an advantage.
  • Excellent attention to detail and accuracy in handling project documentation and records.
  • Good communication and interpersonal skills, with the ability to work effectively with internal and external stakeholders.
  • Ability to work independently while maintaining a collaborative team-oriented approach.
  • Experience in interior fit-out or project-based environments will be an advantage.
  • Familiarity with office equipment and general administrative procedures.
