Job Description

Responsibilities

About the role:

This role is responsible for supporting end-to-end order fulfilment and logistics operations to ensure timely and accurate delivery of customer orders. The position involves coordinating closely with warehouse teams, managing inventory through the Warehouse Management System (WMS), and overseeing shipment activities for both inbound and outbound goods. The incumbent will also handle shipping documentation, customs coordination, and compliance processes while providing responsive customer support and resolving operational issues. Additionally, the role requires maintaining accurate records, preparing reports and invoicing, and ensuring overall operational efficiency and service quality in alignment with KPI targets.

Reporting to: Process Manager  

Order Fulfilment & Operations

  • Provide administrative support for daily order fulfilment to ensure KPI targets are consistently met.

  • Execute and process customer orders accurately and within agreed timelines.

  • Coordinate closely with the warehouse team to ensure smooth daily order processing.

  • Provide backup support for team members during leave or absence to ensure continuity of operations.

Warehouse Management System (WMS) & Inventory Control

  • Perform and manage warehouse transactions using the Warehouse Management System (WMS).

  • Ensure accuracy of inventory and timely completion of all inventory-related transactions.

  • Assist in stock take activities and maintain high standards of inventory accuracy.

Shipment Coordination & Monitoring

  • Monitor and track delivery status for both inbound and outbound shipments.

  • Coordinate and liaise with forwarders and couriers for import and export scheduling.

  • Prepare and generate shipping documentation for inbound and outbound shipments.

Customs & Compliance

  • Prepare and coordinate with permit declaring agents on customs permit declarations for import and export shipments.

  • Investigate and respond to customs-related queries in a timely manner.

Customer Support & Issue Resolution

  • Investigate customer complaints, stock discrepancies, and operational issues, and ensure timely resolution.

  • Scan and provide Proof of Delivery (POD) upon customer request.

  • Update and share daily or weekly order trackers as requested by customers.

Documentation & Reporting

  • Ensure proper documentation practices, including classification, sorting, filing, and archiving of shipping documents, permits, and records.

  • Prepare monthly invoicing, stock reports, and KPI reporting for clients.

General Support

  • Perform other duties as assigned by the Process Manager or Warehouse Manager.

 Job Requirements

  • Diploma or Degree in Logistics, Supply Chain, Business, or related field.

  • Min.3 years of experience in logistics, warehouse, or supply chain operations preferred.

  • Familiarity with Warehouse Management Systems (WMS) and inventory processes.

  • Knowledge of shipping documentation and custom permit declaration procedures is an advantage.

  • Proficient in Microsoft Office (Excel, Word, Outlook).

  • Strong attention to detail and organizational skills.

  • Good communication and coordination abilities.

  • Ability to work independently and in a fast-paced environment.
