Job Description

The Centre for Teaching, Learning and Technology (CTLT) seeks an Executive to maintain accurate records of the department's fixed assets, handle procurement matters and provide secretarial support to the Director.


The successful candidate will be expected to contribute to each of the following key areas:


1. Fixed Assets Management
  • Maintains accurate records of the department’s fixed assets and comply with NUS financial policies and guidelines. This includes asset tagging, system updates, asset verification, retirement and disposal
  • Carries out secure data wipeout from IT equipment to be disposed of and comply with NUS IT guidelines
  • Liaises with the vendor for disposal of assets and items


2. Procurement
  • Raises Purchase Orders and Service Requests using Ariba system for the department’s procurement
  • Liaises with Office of Finance (Fixed Assets) for creation of Asset IDs, where applicable
  • Liaises with vendors for Delivery Orders, Service works, Invoices and performs Goods Receipt
  • Liaises with Central Procurement Office for Direct Contracting, Invitation to Quote, Invitation to Tender, etc.

3. Secretarial Support
  • Provides secretarial support to Director (Instructional Technology) and managers, including scheduling of meetings, visits/events, etc.

4. Other administrative tasks
  • Co-ordinates service requests for Webcast and Multimedia services
  • Supports Multimedia Team for NUS Commencement Ceremonies in the co-ordination of faculty briefings and recordings
  • Support department’s risk and business continuity management matters
  • Manage office and pantry supplies and office equipment matters (door card access system, etc.)
  • Any other duties assigned by the management

Qualifications

  • Good spoken and written communication skills
  • Well-organized, meticulous and resourceful
  • Effective team player with excellent interpersonal skills
  • Positive work attitude and able to handle tasks independently
  • Proficient in Microsoft Office applications
