JOB SUMMARY
The Senior Event Executive will support the planning, coordination, and execution of high-impact book events that engage audiences and elevate our brand. This role requires strong organizational skills, hands-on event experience, and the ability to anticipate needs in a fast-paced environment. The ideal candidate excels at communication, thrives under pressure, and brings creativity and precision to every project.
ROLES & RESPONSIBILITIES
- Manage event setup according to the layout plan and handle dismantling tasks after the event.
- Manage event inventory and supporting tools, ensuring all items are prepared and accounted for.
- Identify operational gaps and develop solutions to enhance event efficiency.
- Assist with basic manpower planning and coordinate event crew task assignments.
- Coach event crew on book knowledge, customer service standards, and suggestive-selling techniques.
- Work closely with marketing to ensure promotional materials, campaigns, and event branding are aligned.
- Ensure compliance with venue regulations, safety standards, and event-specific requirements.
- Build and maintain positive relationships with vendors, suppliers, and venue partners.
- Assist with sales, restocking, and simple inventory tasks.
- Conduct comprehensive post-event reviews to identify key learnings and implement improvements for future events.
- Assisting with overseas events when necessary.
REQUIRED EXPERIENCE
- Minimum of 1 year Hands-on experience in event planning, coordination, and operational setup.
- Minimum Diploma education.
- Good communication and customer-service skills.
- Experience troubleshooting operational challenges in fast-paced event environments.
- Background in book events, retail events, or publishing industry is a plus (optional)
- Able to multitask and handle several responsibilities in parallel.
- Be an avid reader with a genuine love for books and the literary community.

WORKING CONDITIONS
- Events often require quick problem-solving, rapid transitions, and the ability to stay focused during time-sensitive tasks.
- Shifts may include early mornings, evenings, weekends, and occasional holidays depending on event timing.
- Role involves standing for long periods, walking, lifting/moving equipment, and assisting with setup/breakdown.
- Longer shifts may be required on event days to support setup, execution, and teardown.
