Role Overview

We are hiring a hands-on, detail-oriented, and execution-focused HR & Admin Executive to manage daily HR operations while supporting office administration.

This role is ideal for someone who is highly organized, meticulous, and able to follow through on tasks independently. You will be responsible for ensuring HR processes such as attendance management, onboarding, employee records, and recruitment coordination are executed accurately and consistently, while supporting smooth day-to-day office operations.

Key Responsibilities
1. HR Operations (Primary Focus)
  • Manage and monitor employee attendance, leave records, and punctuality tracking accurately.

  • Ensure HR records and employee information are maintained and updated in a timely manner.

  • Coordinate onboarding and orientation programs for new employees.

  • Handle onboarding and offboarding administration, documentation, and checklist follow-up.

  • Maintain employee files and HR documentation systematically.

  • Support employee communication and day-to-day HR coordination.

  • Assist in employee engagement activities and HR initiatives when required.

  • Ensure timely follow-up and completion of HR-related tasks.

2. Recruitment Coordination
  • Coordinate recruitment activities including job postings, resume screening, interview scheduling, and candidate communication.

  • Liaise closely with hiring managers and candidates throughout the recruitment process.

  • Maintain recruitment records and hiring status updates.

  • Ensure recruitment activities are organized, tracked, and completed within established timelines.

3. Office Administration
  • Support daily office operations and administrative functions.

  • Liaise with landlords, building management, vendors, and service providers.

  • Coordinate office-related payments, maintenance matters, and administrative requests.

  • Manage procurement and inventory of office supplies, pantry items, and equipment.

  • Maintain proper filing systems and administrative documentation.

  • Support internal meetings, events, and office coordination activities.

  • Ensure the office environment remains professional, organized, and well-maintained.

  • Perform other administrative duties assigned by management.

Requirements
  • At least Diploma, Advanced Diploma, or Degree in any discipline.

  • 2–5 years of experience in HR Operations, Administration, or related functions.

  • Experience in attendance management, onboarding, employee records management, or HR administration is preferred.

  • Experience supporting recruitment activities is an added advantage.

  • Able to work independently and manage multiple responsibilities effectively.

  • Strong organizational skills, attention to detail, and follow-through.

  • Responsible, proactive, and dependable.

Language Requirements
  • Proficiency in mandarin (spoken, written, and reading) is required due to frequent communication with mandarin-speaking employees, candidates, headquarters personnel, business partners, and stakeholders as part of the role's responsibilities.

  • Good communication skills in English and Bahasa Malaysia are also required.
